Position Summary:
We are seeking a detail-oriented and highly organized Media Coordinator to join our dynamic team. The ideal candidate will be responsible for managing administrative duties, coordinating schedules, and supporting various projects to ensure smooth operations across departments.
Key Responsibilities:
- Schedule client visits, marketing and community events.
- Manage project schedules and provide updates to attorney team and marketing teams.
- Maintain and update the trial schedule.
- Coordinate with Operations Manager to assign team members to specific projects.
- Handle administrative duties, including scheduling travel and meetings for the team.
- Oversee day-to-day invoicing, billing, and ensure pricing accuracy.
Qualifications:
- Bachelor’s degree in Business Administration, Project Management, or a related field preferred.
- Proven experience in administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Strong attention to detail and the ability to multitask in a fast-paced environment.
- Ability to work independently and collaboratively with cross-functional teams.
Preferred Skills:
- Experience with scheduling and project management tools.
- Background in administrative support within legal, marketing, or project management environments.
- Strong problem-solving skills and proactive approach to administrative tasks.
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stand/Sit – Must be able to remain in a stationary position up to 50% of the time.
- Walk – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.
- Use of hands/fingers to handle or feel – constantly operates a computer and other office machinery such as a copy machine/printer.
- Climbs stairs – May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Carry weight/lift - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.

Chicago Pay Range
$62,000 - $62,000 USD
