Job Summary:
We are seeking a detail-oriented and highly organized Recruiting Coordinator to join our talent acquisition team. In this role, you will provide administrative support throughout the recruitment process, ensuring a seamless and professional experience for both candidates and hiring managers. You will work closely with the HR and recruitment teams to draft offer letters, conduct reference checks, schedule interviews, and manage candidate communication.
Key Responsibilities:
- Prepare and draft offer letters
- Conduct professional reference checks for candidates
- Run conflict checks for all attorneys and defense employees
- Edit and post job descriptions
- Coordinate and schedule multiple-round interviews
- Review incoming applications and shortlist candidates based on qualifications and job requirements
- Send timely and professional rejection emails to candidates who are not selected for positions
- Regularly update the recruiting tracker to current candidate status
- Send assessments to candidates, collect results, and upload them to candidate profiles for review
- Send interview scorecards to relevant team members and follow up to ensure timely completion
- Maintain consistent and professional communication with candidates throughout the recruitment process, from initial contact to their first day with the company
Qualifications:
- Proven experience as a Recruiting Coordinator, HR Assistant, or in a similar administrative role within talent acquisition
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficient in MS Office Suite (Word, Excel, Outlook) and HR management tools
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Strong interpersonal skills and ability to build relationships with candidates, hiring managers, and team members
- Knowledge of recruitment processes and best practices is a plus
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
