Position Overview: The Administrative Assistant will provide essential support to the Social Services Coordinator, ensuring smooth operations and efficient management of client services. This role requires a detail-oriented and organized individual who can handle administrative tasks and assist in coordinating social services for clients.
Key Responsibilities:
- Assist clients in completing applications for benefits and services, such as housing assistance, healthcare, and financial aid.
- Manage and organize community services contact cards in FileVine ensuring all records are accurate and up to date. Research new community resources.
- Schedule appointments and follow-ups for clients with the Social Services Coordinator
- Maintain communication with community organizations, service providers, and government agencies.
- Prepare and distribute informational materials about available social services and community programs.
- Handle phone calls, emails, and other correspondence related to client services.
- Monitor and track client progress, updating service plans as necessary.
- Support the Social Services Coordinator in advocating for clients to ensure they receive fair and timely access to services.
- Perform other administrative duties as required.
Qualifications:
- Minimum of 1 year of experience in an administrative role, preferably in social services or a related field.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with confidentiality and professionalism.
- High school diploma or equivalent; additional education or training in administration or social services is a plus.
