Position Summary: Personal Injury trial law firm seeks a full-time medical records manager to handle all aspects of medical records management on behalf of personal injury clients, including gathering, organizing, and summarizing records; preparing records depositions and meetings with medical providers. Ideal candidates will have a background working in a law firm, reviewing medical records and bills, excellent communication skills, attention to detail, operations management.
Key Responsibilities:
- Oversee the daily operation of the medical records specialists.
- Audit cases for monthly and/or quarterly reviews for medical record specialists.
- Have weekly huddles with teams to provide updates and KPI tracking.
- Routinely meet with the Director of Medical records.
- Conduct monthly one-on-one meetings with all team members.
- KPI monitoring, tracking and improvements to meet KPI goals.
- Authority to oversee and control document distribution.
- Collect and organize information for your entire company.
- Ability to recommend changes to processes on document retrieval and storage.
- Ability to request, organize, summarize, redact and track requests.
- Ability to learn and understand the medical records specialist role.
- Reporting, dashboard management.
- Reporting issues management, project management, monitoring and tracking.
- Acts as a liaison between the support staff from the firm and the medical records, providers, managing requests with strict adherence to deadlines and confidentiality.
- Payroll and timekeeping
- Provide administrative support as required.
- Assists in reviewing and reconciling billing invoices, researching submissions, and verifying delivery for invoice payment.
Qualifications:
- HS degree or GED
- Bachelor’s in health information management a plus but not required.
- An equivalent combination of training and relevant work experience.
- Advanced computer skills including MS Office applications (Word, Excel, Power Point), Internet, e-mail, database management and scheduling software programs.
- HIPAA compliance knowledge.
- RHIT or RHIA certification a plus but not required.
- One (1) to three (3) years of experience in an administrative role.
- Experience working in an administrative support role with medical records in a law firm, health care facility or third-party records company.
- Associate degree in business management, administrative services, or related field.
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
