The ideal candidate will be responsible for managing client interactions, scheduling appointments, and maintaining accurate case details in our case management system. This role requires excellent organizational skills, attention to detail, and the ability to work a flexible schedule, including nights, weekends, and holidays.
Key Responsibilities:
- Must be able to work a flexible schedule, including nights, weekends, and holidays
- Process and respond to a high volume of potential client calls, inquiries, and requests for information
- Schedule appointments with potential new clients and have them sign contracts
- Daily, timely and accurately transfer new case details to our case management system (Needles)
- Coordinate all required client documentation and letters pertaining to case sign up
- Maintain confidentiality of all client information, protected health information, business operations and practices
- Excellent organizational skills with outstanding attention to detail and excellent follow-through
- Professional appearance and behavior
- Good verbal and written communication skills on the phone, in person and email
- Excellent time management, multi-tasking, and critical thinking abilities
- Proficient in Microsoft Office Suite, Adobe and Case Management software
- Perform other duties as assigned
Education Requirements:
- High school Diploma or GED
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
