Position Summary: The Department Trainer is responsible for delivering tailored training sessions to department employees, covering specific job skills, procedures, and policies with clarity and relevance. They customize training materials to meet departmental needs, incorporating hands-on demonstrations and practical exercises to reinforce learning objectives. Additionally, they assess individual and group learning needs, collaborating with department managers to address performance gaps. The trainer facilitates discussions and Q&A sessions, monitors trainee progress, and provides constructive feedback to promote continuous improvement. They maintain up-to-date knowledge of departmental processes and systems, updating training content as necessary, and participate in cross-functional training initiatives to foster collaboration and best practices. The trainer also creates and maintains a department training schedule, executes trainings, creates instructional videos, maintains a training calendar, and reviews feedback to ensure effective training outcomes at the department level.
Key Responsibilities:
- Deliver training sessions to department employees on specific job skills, procedures, and policies, ensuring content relevance and clarity.
- Customize training materials to meet the needs of the department and its employees, ensuring accuracy and alignment with objectives.
- Provide hands-on demonstrations and practical exercises to reinforce learning objectives and enhance skill acquisition.
- Assess individual and group learning needs and adjust training methods accordingly to optimize learning outcomes.
- Facilitate discussions and Q&A sessions to enhance understanding, engagement, and knowledge retention.
- Collaborate with department managers to identify performance gaps and skill deficiencies, tailoring training content accordingly.
- Monitor trainee progress, provide constructive feedback, and offer support as needed to promote continuous improvement.
- Maintain up-to-date knowledge of departmental processes, tools, and systems, ensuring training content remains relevant and accurate.
- Maintain and update KMS (SOPs) for accuracy, reviewing at intervals and updating them as needed to ensure compliance and efficiency.
- Develop and revise departmental training materials, incorporating feedback and updates as necessary.
- Participate in cross-functional training initiatives and knowledge-sharing activities within the organization to promote collaboration and best practices.
- Create a department training schedule covering various training needs such as new hire/onboarding, ongoing training, process/expectations/standards change trainings, monthly ongoing trainings, PIP training, technology training, and career development requirements.
- Schedule, prepare for, set up, and execute trainings per the predetermined training schedule, ensuring smooth delivery and participation.
- Create instructional videos/training videos specific to departmental processes and expectations, ensuring peer review for accuracy and effectiveness.
- Maintain a training calendar for the department and keep attendance logs for trainings, ensuring accurate record-keeping and compliance.
- Put together and review feedback and knowledge checks to assess material comprehension and identify areas for improvement.
- Performs other duties as required.
Qualifications:
- Excellent verbal and written communication skills for effectively conveying operational procedures and expectations
- Familiarity with the tools, software, and systems used in operations, and the ability to train others in their use
- Strong problem-solving skills to address challenges that arise during training or in the operational processes being taught
- Ability to manage time effectively, balancing multiple training sessions and ensuring all materials and sessions are delivered on schedule
- High level of attention to detail to ensure that training content is accurate and reflects current operational standards
- Flexibility to adjust training methods and materials in response to changes in operations or feedback from trainees and management
- Ability to build rapport with trainees, creating a supportive learning environment that encourages participation and engagement
- Proficiency in presenting information clearly and confidently, using various tools and techniques to enhance understanding
- Strong organizational skills to manage training schedules, materials, and follow-up activities efficiently
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
