Position Summary: The Referrals Manager serves as a key leader responsible for overseeing the performance and day-to-day operations of the referral function, ensuring a seamless and efficient experience from intake through resolution. This role drives accountability through data, promotes continuous improvement in processes, and supports the development of team members through hands-on leadership and coaching. Key Responsibilities:
Management of the Referral Department
- Oversee referral processing, tracking, and follow-up
- Ensure the department is operating efficiently and effectively via defined KPIs and metrics
- Provide daily/weekly coaching, clarity, and support to team members
- Monitor workload and provide recommendations on adjusted assignments to maintain efficiency
- Review files for accuracy and compliance
- Maintain Standard Operating Procedures (SOPs) and workflow documentation
- Make recommendations on process improvement
- Track referral volume, turnaround times, and team performance
- Communicate professionally with referral firms and maintain strong partnerships
- Participate in interviewing and making hiring recommendations
- Display professionalism at a high level through physical appearance and attitude
- Upkeep of continuous training cycle and development of all team members
- Perform other duties as assigned.
Monitor employees
- Ensure Case Referral Associates are completing scope of work
- Monitor Timecards for Case Referral Associates
Reporting
- Report on progress of department
- Report on number of outbound referrals and turnaround times
- Report on resolutions of Referral Cases
Work Experience Requirements:
- Must have a minimum of 2 years previous personal injury experience
- Excellent organizational skills with outstanding attention to detail
- Strong knowledge of MS Office, Outlook, Adobe and the ability to quickly learn case management software – Filevine and Lead Docket.
- Ability to lead through influence and coaching
- Comfortable managing competing priorities
Education Requirements:
- High school diploma or GED equivalent
Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Stationary Position – Must be able to remain in a stationary position up to 50% of the time.
- Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
- Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.
- Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
- Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
