Position Overview

Woolpert is hiring a Digital Asset Manager to join our dynamic Proposals Team. This position reports to the Director of Proposals.  The Digital Asset Manager serves as the primary administrator and day-to-day owner of Woolpert's digital asset management (DAM) platform, including asset intake, metadata and taxonomy standards, permissions, digital rights documentation, integrations, reporting, and user enablement. This position develops, applies, and improves governance standards, taxonomies, and workflows that keep project imagery, graphics, video, presentations, resumes, and marketing content accurate, well organized, and easy to find and reuse across the firm. Work is complex and important to the organization and is performed with minimal supervision and wide latitude for independent judgment, including resolving cross-system issues, partnering directly with vendors and system owners, and assisting less-experienced team members.

We are unable to provide visa sponsorship for this position.  Applicants must already possess work authorization in the country the job is located.

What You Will Do:

  • Administers and maintains the DAM platform end to end, including configuration, asset intake, cataloging, permissions, distribution, retention, and archival, and resolves issues with limited oversight.
  • Develops, documents, and maintains project-level and asset-level metadata standards, taxonomies, controlled vocabularies, and naming conventions, and leads periodic reviews to keep them current.
  • Establishes and applies quality-review criteria for incoming assets, evaluating completeness, duplication, and compliance, and confirms required metadata and usage information are captured before publication.
  • Plans and conducts audits of asset collections to identify, correct, retire, or archive inaccurate, duplicate, or obsolete assets, and recommends corrective actions to content owners.
  • Leads the ingestion, normalization, and rationalization of legacy or acquired asset collections, coordinating timelines and requirements with contributing teams.
  • Defines and enforces clear distinctions among working files, final approved assets, restricted materials, and archival records.
  • Maintains rights-related metadata and supporting documentation, including copyright, licensing, permissions, usage restrictions, and image credits, and partners with Legal and Communications to resolve higher-risk usage questions.
  • Oversees the accuracy of employee profiles, headshots, project experience, and resume-related content maintained in or supplied to the DAM, and works with data owners to resolve gaps.
  • Monitors and troubleshoots data flows between the DAM and connected enterprise, proposal, and content-management systems, and serves as a day-to-day point of contact with system owners and vendors on configuration, defects, and enhancements.
  • Diagnoses and resolves complex user, system, and workflow issues, escalating only those requiring enterprise-level decisions or contractual action.
  • Designs and delivers user training, and creates and maintains user guides, workflow documentation, and quick-reference materials.
  • Provides expert user support and guidance on search, metadata, permissions, rights, and asset-distribution practices.
  • Analyzes and reports on DAM adoption, asset usage, data completeness, and search activity, and translates findings into recommendations that improve reuse and content quality.
  • Recommends and implements approved improvements to taxonomy, configuration, documentation, training, and workflows, and evaluates new capabilities for fit.
  • Assists and provides work direction to less-experienced team members, contractors, or contributors supporting the DAM.
  • Performs other duties as assigned.

 What You Will Bring:

  • 5 years of experience in digital asset management, content or knowledge management, records/library services, or a comparable enterprise information system.
  • Experience developing and applying metadata, taxonomy, or cataloging standards to digital content.
  • Experience administering or serving as a primary user of an enterprise DAM, content management, or knowledge management platform.
  • Advanced knowledge of digital asset management concepts, including metadata, taxonomies, controlled vocabularies, file formats, and asset lifecycle practices.
  • Ability to develop, document, and enforce governance standards, procedures, and workflows.
  • Strong attention to detail and organizational skills when handling high volumes of content.
  • Ability to independently diagnose and resolve complex system, workflow, and user issues, including cross-system problems.
  • Effective written and verbal communication skills, including the ability to train, advise, and influence nontechnical users and stakeholders.
  • Ability to manage multiple priorities and collaborate across teams with minimal supervision.
  • Ability to analyze usage and adoption data and translate findings into actionable recommendations.
  • Proficiency with Microsoft Office applications.

PREFERRED EXPERIENCE:

  • Associate's degree or higher in library science, information science, information management, digital media, archives, communications, marketing technology, or a related field preferred.
  • 7 or more years of experience administering a digital asset management, content management, or knowledge management platform.
  • Experience leading system integrations, APIs, marketing technology, proposal technology, or AI-enabled content workflows.
  • Experience in an architecture, engineering, geospatial, consulting, or other professional-services environment.
  • Experience developing training programs and supporting enterprise users at scale.
  • Experience supporting DAM migrations or post-acquisition content integrations

PREFERRED CERTIFICATIONS, LICENSES, OR TRAINING:

  • DAM, taxonomy, metadata, or information governance training or certification preferred.

PREFERRED KNOWLEDGE, SKILLS & ABILITIES:
