Responsibilities

Join Workato’s global Candidate Success Team and help create experiences candidates and stakeholders remember fondly.

You’ll shape and deliver thoughtful, high-touch hiring journeys that reflect how we operate: connected, efficient, and intentional. Throughout the hiring process, you’ll make sure every step feels clear, smooth, and worth people’s time, while thoughtfully incorporating local cultural nuances without losing that consistency.

You’ll partner closely with Talent Acquisition, hiring managers and teams to keep everything running seamlessly and make sure every candidate experience feels intentional. In this role, you’ll be responsible for:

  • Owning the interview scheduling process across APAC, US, and EMEA regions — coordinating complex, multi-timezone panels, managing calendar conflicts, and triaging scheduling requests to keep SLAs on track.

  • Partner with Talent Acquisition team, hiring managers, interviewers, and candidates as a central point of contact for scheduling logistics and process questions

  • Drive candidate engagement throughout the hiring process — keeping candidates informed, responsive, and warm from early interview stages through final interview

  • Configure and manage jobs in Greenhouse ATS, ensuring requisition details, approval workflows, and job fields are accurate 

  • Manage the job approval process, coordinating with hiring managers and TAPs to keep jobs moving through without bottlenecks

  • Maintain data integrity in Greenhouse, making sure workflows are followed and records are clean for downstream reporting

  • Handle sensitive candidate and compensation information with discretion and confidentiality

  • Identify process gaps and inefficiencies — you're not just running the process, you're actively improving it

  • Help maintain and improve coordinator documentation and SOPs

Requirements

Qualifications:

  • 2+ years of experience as a recruiting coordinator or in an HR operations/admin role

  • Willing to commit to work hours that align with USA / Europe workday

  • Hands-on experience with interview scheduling coordination and ATS management 

  • Detail-oriented with strong organizational skills and the ability to manage competing priorities

  • Comfortable managing complex, multi-timezone scheduling with multiple stakeholders

  • Experience communicating across a globally distributed team — you will partner daily with colleagues in the US, APAC, EMEA

  • Proficiency in Greenhouse ATS, Google Suite and Jira Service Management (JSM) is highly preferred
