Job Description

The Program Manager, Finance & Accounts’ primary responsibility is to work with participants and prepare the necessary financial arrangements that will make their study abroad dream a reality. This is achieved by assisting enrolled participants and family members of participants with payment information, such as setting up payment plans or advising on financial aid. Program Managers will also engage with contacts from US universities to send and collect invoices, as well as with our on-site resident staff members to ensure program invoices are paid appropriately. Furthermore, Program Managers update student accounts for all things payment related, from charges for an extra excursion to program changes. Our Program Managers help reduce financial stress for students by providing clear, helpful information as they prepare to study abroad on our programs.

Responsibilities

This full-time position will require the employee to serve as Region and Account Manager for all study abroad locations for 1-2 regions, serving as a point of contact for all inquiries related to program and student finances. This position will work closely with the Program Manager and Resident Director on the following:

Finance

  • Invoice students and universities, collect payments, track outstanding balances, follow up to collect late payments
  • Process financial aid forms and track disbursements of student aid
  • Set up and track payment plans
  • Keep track of program finances and make sure that students have all program related costs covered
  • Review and approve invoices to be paid out to host universities, housing agencies, and other international vendors
  • Apply and collect cancellation fees in case of late withdrawal
  • Manage and track promotional discounts

Accounts

  • Maintain the financial details in student accounts within CRM system
  • Process withdrawals, deferrals, and program changes
  • Update program contracts and other financial forms provided to students

Customer Service

  • Advise about financial aid, 529 plans, payment plans, and other forms of tuition assistance
  • Answer questions about the cancellation policy, taxes, and provide price breakdowns

Qualifications

  • Bachelor's Degree
  • Detail-oriented with strong multi-tasking abilities, program management skills, and experience handling accounts and financials
  • Excellent organizational skills with the ability to learn and adapt to ISA systems and protocols
  • Passion for international education with the ability to work independently and collaboratively within a team
  • Proficiency in Microsoft Excel and other relevant software applications
  • Significant experience studying, living, and/or working abroad strongly preferred
