Job Description:

The International Program Associate (IPA) has knowledge that has evolved from being in the IPA role and fulfilling a series of requirements to quality for seniority. The role still partners with Account Managers to provide essential communication and administrative support, ensuring that every detail is set to give our teachers and students the experience of a lifetime. The Sr IPA also serves a mentor for other IPAs, can be involved in different projects based on need of the business. Has full understanding of the business needs and all the other LOB the department supports.

The IPA has the opportunity to build on-going relationships with our customers, our sales team, other IPAs as well as other departments within the company as they deliver IPA support and proactively provide a high level of customer service to support our teachers, primarily during the months leading up to their tour’s departure. In this role, you will see all aspects of the tour come together, coordinate with all departments in the organization, and ultimately have a significant impact on the success of each of your teachers’ tours.

Responsibilities:

  • Be a role model and mentor to other team members.
  • Provide training on specific topics when assigned.
  • Oversee task within the department or be point person for process development.
  • Proactively engage with the teachers you support, working closely with Account Managers to ensure that teachers and the groups they lead are fully prepared to travel.
  • Answer and troubleshoot incoming service calls and emails, ensuring superior customer service, accuracy & timely responses, and creative solutions when needed.
  • Track and remind teachers about important deadlines and tasks.
  • Review traveler accounts to answer questions, adjust accounts, and coordinate with the accounts team.
  • Follow up with teachers regarding travel requirements applicable to their destination.
  • Review rooming arrangements for each group to ensure proper reservations are made.
  • Follow up with flight deviation requests.
  • Create promotional materials such as PowerPoint presentations, custom tour itineraries, competitor comparisons and posters used to demonstrate our product to prospective clients.
  • Communicate and coordinate with team members in operations, flights, program management, customer service, accounts and emergency.
  • Collaborate with marketing, product development and other departments, as applicable, to improve upon existing resources.
  • Support the sales team with additional administrative tasks, as needed.

Qualifications:

  • A bachelor’s degree or secondary educational program recommended
  • Customer Service and Administrative experience
  • Strong attention to detail and multitasking skills
  • Proficiency in Microsoft Office and the ability to pick up new software quickly
  • Process Oriented and Organized
  • Problem Solver
  • Advanced English skills, both written and oral
