Operations Coordinator (Supplier Payment and Compliance)

Job Description:

  • Reports to the Contracting and Operations Manager.  
  • Participates in the overall planning, development and success of the overall supplier management
    and compliance for their assigned region. Takes all necessary and approved actions to achieve
    both short and long-term goals and objectives.
  • Cooperates with the Contracting and Operations Manager (Procurement Manager) to facilitate
    administration workflows.
  • Responsible for the execution and compliance with contract terms.
  • Responsible for the processing of our payment obligations with suppliers.  
  • Managing payment and compliance in multiple systems as needed. Responsible for supplier relationships regarding payment and contract compliance matters.
  • Provide information and support on payment matters, work with our international business
    partners as well as our finance department teams to solve payment issues as needed.
  • Responsible for collecting risk assessment data and documentation from suppliers to respond to
    safety concerns as they arise (during the sales process, pre departure, or on tour)

Responsibilities:

  • Supplier management: Developing and maintaining relationships with existing and new vendors
    to service current and additional lines of business and /or destinations. Conduct necessary training
    and generating materials to support partners in payment and compliance matters.
  • New business partners on boarding: Ensure proper supplier payment set up and initial compliance
    background checks.  
  • Contract management and Budgeting: Keeps control of contract renovations and uploads,
    contributes to budget maintenance in the system by ensuring correct contract entry and generates
    reporting for contract renovations progress as well as budget pacing view.
  • Negotiate payment extensions and solve payment issues. Ensure supplier relationship is not
    damaged due to payment issues and that groups are not affected.
  • Process tracking: develop, monitor and keep record of operational processes in payment and
    compliance, analyze its effectiveness and identify opportunities for improvement, identify
    solutions and operation outcomes.
  • Quality assurance: Works with Procurement managers to generate supplier compliance projects
    to collect the necessary supplier information to provide Sales and Program management teams.  
  • Compliance - Keeps informed about industry requirements in terms of safety and security.
    Ensures all necessary security documentation for suppliers and business partners is up to date
    and correctly secured and filed.  
  • Accounts payable management: invoice approval processing and expense reconciliation. Ensure
    budgets, rates and contracts are respected. Payment terms management, credit tracking, expense
    statements.  
  • Financial record production and reconciling accruals. Cash accounts recording and outgoing

Qualifications:

  • Must be fluent in English and Spanish
  • Demonstrates leadership, knowledge, skills and ability in travel-related Operations.
  • Negotiations skills
  • Notion of budgets, costs, statistics, overall fluency with numbers
  • Proficiency in Excel, Microsoft Office, and the ability to learn new software products
  • Proficient technical and analytical skills.
  • Strong communication and presentation skills.
  • A bachelor’s degree in business and/or Administration, or a relevant field.
  • A minimum of 1-2 years progressive operational experience with a solid understanding of the travel industry or other related industries
