Air Operations Coordinator

We’re looking for a detail-oriented, open-minded teammate to join our Air Operations team. As an Air Operations Coordinator, you’ll work with airlines and internal teams to support group flights, manage budgets, and ensure a smooth experience for our travelers.

No prior airline experience? That’s okay — we’ll train you. What matters most is a positive attitude, curiosity to learn, and the ability to work well with others.

This role offers exposure to the international travel side of our programs (with travel benefits included!). Internal applicants from the US and Canada are especially encouraged to apply.

 The role involves direct communication with external airline representatives and internal staff at all levels, reporting directly to the Air Operations Manager.

Essential Functions
- Procure and negotiate group flight contracts for approximately 500 groups per year using online booking tools, correspondence with airline group desks and Amadeus GDS
- Manage $6-10 million per year in flight costs
- Continuously renegotiate fares and stay informed of airline contracts, sale fares and market trends
- Manage airline and internal deadlines and monitor spend using proprietary data systems
- Coordinate with Sales and Account Management departments to confirm and quote flight requests and guarantees
- Coordinate with Program Management department regarding flight requirements and provide budgets for custom itineraries
- Prepare status updates and financial reports for management team
- Action incident reports throughout the travel season for flight related issues
- Provide support on other projects and tasks as requested by department management

Additional Responsibilities
- Facilitate and/or perform training of staff members as required.
- Maintain accurate and up-to-date documentation.
- Foster communication within the department, with other departments and with management.
- Maintain knowledge of company policies and procedures so as to serve as an effective staff member.
- Support company policies and management decisions with a sense of urgency and professionalism.
- Seek out and participate in internal and external programs that facilitate personal and professional growth.
- Write and deliver self-performance appraisal to Director of Air Operations on an annual basis.
- Identify and discuss personal and professional growth goals with Department Head.

Qualifications
Bachelor’s Degree in Arts/Sciences (BA/BS) Preferred

Knowledge, Skills and Abilities
- Strong organizational, time management and prioritization skills
- Strong negotiation and problem-solving skills
- Excellent attention to detail
-Ability to communicate effectively with airlines, internal staff, and management
- Ability to work well under pressure and manage deadlines
- Knowledge of airline contracting processes preferred
- Proficiency in Amadeus GDS with 2-4 years’ experience preferred
