We’re looking for an Operations Coordinator who thrives in a fast-paced, people-focused environment. In this role, you’ll be the key connector between our Operations team, Account Managers, Customer Service, Sales, and our network of suppliers—making sure every group travel experience runs smoothly from start to finish.

You’ll coordinate tour requests, manage itinerary components within budget, keep communication flowing, and build strong relationships with partners and internal teams. You’ll also support research of new suppliers, handle invoice processing, update internal systems, and contribute to continuous process improvements.


Responsibilities:

  • Serve as the liaison between Operations, Sales, Account Management, and Customer Service.

  • Coordinate and fulfill tour requests, ensuring accurate and timely assignment of itinerary components within budget.

  • Maintain strong, professional relationships with suppliers and internal teams.

  • Manage the flow of information between stakeholders and ensure all updates are communicated promptly.

  • Review and process revisions, requests, and changes from Account Managers.

  • Reconcile and process invoices in coordination with the Finance team.

  • Maintain up-to-date knowledge of destinations, venues, suppliers, and attractions to support internal teams.

  • Evaluate feasibility of operational components and assign appropriate travel services.

  • Research and support onboarding of new suppliers, partnerships, and attractions.

  • Update system tables and shared reference materials when needed.

  • Provide accurate input for reports and tracking tools.

  • Collaborate with colleagues to improve processes and support cross-functional projects.

  • Act as a resource for Account Managers and maintain clear communication with Customer Service.

  • Uphold company policies and support management decisions professionally.

  • Maintain a working knowledge of department functions and contribute in team meetings.

  • Complete and review annual self-evaluations and discuss professional growth goals with leadership.

  • Participate in development programs to enhance personal and professional skills.

  • Support field staffing assignments and operational tasks during peak periods.

Qualifications:

  • High school diploma or equivalent required; four-year college degree preferred.

  • Strong customer service orientation balanced with practical business judgment.

  • Dependable, hardworking, organized, and detail-oriented with strong interpersonal and time-management skills.

  • Excellent verbal and written communication skills, including group presentation abilities and diplomatic cross-functional communication.

  • Strong multitasking and negotiating skills.

  • Proven ability to manage and organize large amounts of information effectively.

  • Analytical, solution-oriented business skills.

  • Proficient computer skills; ability to type, process paperwork, and perform office tasks under deadline pressure.

  • Flexibility and willingness to adjust workflows to achieve optimal results (e.g., schedule/fare combinations).

  • Ability and availability to travel periodically.
