THE JOB. 

We’re looking to hire a temporary Executive Assistant to primarily support the CEO, and execute administrative tasks across the Worthi Ventures portfolio of brands, as well as minor personal assistant responsibilities. This EA will also provide support for WORTHI’s leadership team (3 VPs) in the category of travel booking, and light calendar management. 

This would be a four month temporary position. 

Principle responsibilities include:

  • Manage calendar for CEO, including organizing, balancing, and planning the daily schedule
  • Responsible for setting up team meetings and prep sessions, when necessary
  • Take notes during meetings, and help the meeting lead with action items following.
  • Organize travel arrangements, including flights, accommodations, visas, and ground transportation for CEO and occasionally his leadership team
  • Coordinating and managing logistics for conferences, meetings, and corporate events, taking into account the CEO’s travel preferences
  • Prepare travel agendas so travel is seamless and detailed
  • Maintains digital filing systems of all relevant documents for the business and our key partners
  • Handle and screen incoming communications. This includes all correspondence. Knowing when to flag correspondence, route correspondence to another member of the leadership team or prepare correspondence for the CEO’s review and signature
  • Maintain the highest level of confidentiality and discretion in handling sensitive information, discussions, and documents related to the CEO and the organization
  • Build and manage relationships with key stakeholders, internally and externally. Acting as a liaison and representing the CEO’s and the agency’s interests 
  • Support the CEO in project management, including coordinating cross-functional teams, tracking milestones, and ensuring timely completion of tasks, as needed 
  • Some light personal assistant work related to CEO’s personal appointments

The candidates we’re looking for have:

  • High degree of professionalism, diplomacy, and discretion when handling matters of a confidential nature.
  • Ability to proactively anticipate needs and potential problems and take independent action as appropriate using good judgment and discretion to resolve issues with minimal involvement of the CEO.
  • Ability to work with minimal supervision, set goals, create and implement action plans, and monitor progress toward goals.
  • Excellent communication, writing and organizational skills.
  • Results-oriented, with the ability to complete assignments on time and with strong attention to detail.
  • Highly detail-oriented while also being able to connect the dots across multiple touch points (emails, meetings, team discussions, etc.) and operate in the best interest of the CEO
