Position overview

As Project Manager in the Product team you will be at the heart of Xapo’s engine, ensuring our strategic initiatives move from high-level concepts to flawlessly executed reality. Your mission is to drive operational excellence, eliminate friction in our workflows, and support the scaling of a world-class banking product. Responsibilities

  • Strategic Execution Support. Track and drive key initiatives across the product roadmap and wider organisation. You’ll ensure that strategic goals and outcomes are broken down into actionable tasks and that no ball is dropped.
  • Business Efficiency & Process Optimization. Identify bottlenecks in our cross-functional workflows. You will help design, implement, and monitor processes that allow our cross functional teams to collaborate at lightning speed without sacrificing quality.
  • Project Lifecycle Coordination. Manage smaller-scale projects or workstreams within larger product launches. You’ll be responsible for maintaining timelines, managing documentation, and ensuring stakeholders are aligned and informed.
  • Generate Actionable Insights. Develop and maintain dashboards to track product, project and operational KPIs. Analyse this data to produce clear, concise reports that inform executive decision-making and highlight opportunities for improvement.
  • Governance and Documentation. Maintain the source of truth for project statuses and strategic playbooks. You’ll ensure our internal knowledge base is pristine, accessible, and reflects the current state of our global operations.
  • Continuous Improvement. Stay curious about Project Management methodologies (Agile, Lean, etc.) and suggest ways to adapt them to Xapo’s unique, fully remote, and fast-paced environment.
  • Invest in Your Future. We provide a dedicated budget for external training and certifications (PMP, Scrum, etc.) to ensure your career trajectory matches the speed of our growth.

 

Skills needed

  • 1–3 years of experience in project coordination, operations, or a junior management role, preferably within a fast-paced fintech, tech startup, or banking environment.
  • A Force Multiplier mindset. You anticipate needs before they arise and take pride in making the leaders around you more effective.
  • Exceptional Organizational Skills. You don't just manage a to-do list; you optimize it. You have a proven ability to juggle multiple priorities without losing your cool.
  • Effective Communication. You can distill complex updates into concise, punchy briefings. You are comfortable communicating with senior leadership and diverse global teams.
  • Tech-Savvy & Adaptable. Proficiency with project management tools (Asana, Jira, Notion) and a genuine interest in the cryptocurrency and blockchain space.
  • Analytical Curiosity. A basic understanding of how to use data to tell a story and the ability to ask the why behind the numbers.
  • Resilience. You thrive in a high-stakes, regulated environment where the only constant is change.
  • Attention to Detail. You believe that good enough isn't enough when you're building the future of banking.
