About the Team

As Xpanner scales rentals and sales of our X1 retrofit kits and machines across North America, we’re looking for a Sales Operations Specialist to be the operational engine behind our growing US sales motion. This role owns the back-end execution of the sales and rental lifecycle-from order intake and contract setup through ERP execution and AR coordination. Serving as the critical liaison between Sales, Accounting, and our customers’ AP teams.

 

What You’ll Do

How you’ll make impact:

This is a high-impact, build-from-the-ground-up role for someone who loves bringing structure to fast-moving operations and turning a growing book of complex sales and rentals into a clean, scalable system.

 

Core Responsibilities:

  • Lifecycle Management: Own the end-to-end sales and rental order lifecycle, from intake and contract setup (MSAs, SOWs) to close-out.
  • Contract Portfolio: Manage a high-volume, complex book of concurrent rental contracts with staggered milestones and billing schedules.
  • ERP Administration: Act as the Oracle ERP process owner, configuring and optimizing workflows tailored to the sales team's operations.
  • Cross-Functional Alignment: Serve as the primary liaison connecting Sales, Accounting, and customer AP teams to reconcile invoices and ensure clean revenue recognition.
  • Inside Sales Support: Partner with Account Executives to qualify leads, draft quotes, and drive the tactical sales cycle.
  • Data & Reporting: Maintain CRM hygiene and build unified reporting across pipeline, ERP, and AR data to establish a single source of truth.
  • Process Improvement: Identify friction points across the order-to-cash workflow and deploy scalable operational fixes.
  • Forecasting & Health Tracking: Partner with Finance to project rental revenue, track equipment utilization, and monitor overall contract health.

 

What You’ll Bring

Minimum Qualifications:

  • 3–5 years of experience in sales operations, order management, or contracts administration.
  • Hands-on ERP experience (Oracle preferred) with a strong grasp of order-to-cash, invoicing, and revenue recognition processes.
  • Exceptional attention to detail, capable of managing multiple complex contracts, deadlines, and billing milestones concurrently without errors.
  • Strong written and verbal communication skills for direct collaboration with cross-functional stakeholders and external customers.
  • Founder’s mentality: Proactive, adaptable, and comfortable building processes in a fast-paced, high-growth environment.

Preferred Qualifications:

  • Direct experience administering Oracle ERP (Fusion, NetSuite, or EBS) alongside CRM/CLM platforms (e.g., Salesforce, HubSpot).
  • Background supporting equipment rental, capital-equipment sales, construction tech, or industrial robotics businesses.
  • Bachelor’s degree in Business, Finance, Operations, Supply Chain, or a related field.
