About the Team 

Xpanner is seeking a hands-on Senior Specialist for Inventory and Parts Management, reporting to the Director of US Field Operations. This role supports forecasting, ordering, inventory management, and inbound/outbound logistics of spare parts and consumables for Xpanner’s growing fleet of rental machines. In addition, as needed and appropriate, this role drives local purchasing of spare parts and consumables, with aim to improve cost efficiencies and order-to-delivery cycles. This role works closely with related teams (eg. field operations, warehouse, and finance teams) to ensure efficient parts use, accurate inventory coordination, and smooth ordering and logistics workflows.

The ideal candidate will bring strong experience in forecasting for spare parts usage, local vendor purchasing as needed, inventory coordination, while also being comfortable supporting operational needs as they arise.

 

What You’ll Do

How you’ll make impact:

This role is mission-critical to Xpanner’s rapidly growing rental fleet of automation-equipped machines. A high-performer in this role will substantively impact Xpanner’s ability to maintain rental machines at “fit-for-service” status and, in turn, will impact Xpanner’s ability to continuously generate revenue.

Core Responsibilities:

  • Parts Lifecycle Management: Oversee the complete lifecycle of forecasting, ordering, tracking, inventory management (from creation and tracking to fulfillment)—ensuring timely delivery and rigorous management of inventory.
  • Local Purchasing and Vendor Partnerships: Lead development of local-sourced parts and consumables by identifying, evaluating, and negotiating with local suppliers to ensure optimal quality, reliability, and competitive pricing.
  • Cross-Functional Inventory Operations: Partner actively with warehouse and operations teams to forecast material requirements, track stock levels accurately, and streamline replenishment planning for day-to-day operational needs.
  • Systems & Financial Alignment: Leverage NetSuite to manage purchasing workflows and inventory data, collaborating closely with finance to drive accurate monthly reporting, inventory reconciliation, and process scalability.

 

What You’ll Bring

Minimum Qualifications:

  • 3–7+ years of experience in spare parts operations, preferably at/with the Spare Parts team at a sizeable heavy equipment OEM dealer (eg. CAT dealer).
  • Proven track record of managing end-to-end spare parts workflows, including usage forecasting, placing orders, managing purchase order lifecycles, inbound/outbound logistics, local sourcing and price negotiations.
  • Hands-on experience with inventory coordination, materials management, and utilizing ERP systems (NetSuite preferred).
  • Strong cross-team communication and coordination skills to ensure alignment across operations, finance, and warehouse teams.
  • Founder’s mentality: Proactive, adaptable, and comfortable building processes in a fast-paced, high-growth environment.

Preferred Qualifications:

  • Experience supporting inventory reconciliation and financial coordination
  • Background in manufacturing, operations, construction, or logistics environments
  • Ability to take a hands-on operational approach when supporting day-to-day needs

Hourly Range

$31 - $41 USD
