The Role 

We are seeking a highly organized and proactive Operations Assistant to support the smooth and efficient running of our office. In this role, you will oversee daily workplace activities, manage key vendor relationships, and ensure that our facilities consistently meet premium standards. The ideal candidate is detail‑oriented, service‑minded, and comfortable taking ownership of a wide range of operational responsibilities, including providing support to local management. 

This position plays a central part in shaping the daily workplace experience for our employees and guests. We are looking for a professional who takes pride in maintaining a high quality environment and who thrives in a role that combines operational responsibility, service excellence, and management support.

Responsibilities 

  • Operations & Daily Flow - Manage inventory and procurement of all non‑IT office supplies, coordinate daily catering and meeting refreshments, and ensure the workplace remains functional, orderly, and presentable at all times.
  • Events & Hospitality - Plan and execute staff events and team‑building activities from end to end, deliver a high‑quality experience for all visitors, and oversee the design and procurement of premium company merchandise.
  • Facilities & Partnerships - Serve as the primary point of contact for vendors and local partners, supervise maintenance, repairs, and landscaping services, and collaborate with architects on interior improvements and office modifications.
  • Local Management Assistant Support - Provide administrative and coordination support to local management, including scheduling, preparing meeting materials, assisting with documentation, and facilitating internal communication. Ensure leadership has timely access to relevant information and operational support.


Essential Attributes

  • Proven experience in office management, hospitality, or facility coordination.
  • Relevant educational background (e.g., in business administration, hospitality management, facility management, or a related field).
  • Strong organizational skills and exceptional attention to detail.
  • A proactive, hands‑on approach with excellent communication abilities.
  • Ability to support management with administrative and coordination tasks.
  • Fluency in English and Finnish.
