The Role 

Yubico’s Design & Brand team is responsible for shaping how our mission, products, and security expertise show up across every customer touchpoint. As our work scales across global campaigns, events, web, product marketing, sales enablement, localization, and video, we need a strong operational partner to help the team move with clarity, focus, and predictability.

We are looking for a Creative Operations Manager to serve as the operational backbone of the Design & Brand team. You know design and will own the systems, workflows, intake processes, project visibility, and stakeholder rhythms that allow creative work to move efficiently from request to delivery.

This is not a passive project coordination role. The right person is a systems builder, strategic gatekeeper, and trusted cross-functional partner who isn’t afraid to step in and help if needed. You are a technical operational partner equipped with design skills to directly support a fast-moving creative team. You will help create the structure that protects creative focus, improves planning, reduces last-minute chaos, and ensures the team’s time is spent on the highest-impact work.

You will partner closely with Design & Brand leadership, Marketing, Web, Product Marketing, Events, Sales, regional teams, vendors, and agency partners to ensure creative requests are well-scoped, appropriately prioritized, clearly communicated, and delivered on time.

Tasks & Responsibilities:

  • Own creative intake and prioritization: Serve as the central owner of the creative request intake process, ensuring briefs are complete, actionable, and aligned to business priorities before work begins. You will guide stakeholders toward the right process, clarify ambiguous requests, identify missing information, and help prevent unnecessary churn before it reaches the Design & Brand team.
  • Build, optimize and design operational systems: Manage and improve the team’s project management ecosystem across tools such as Asana, Jira, or similar platforms. You will create and maintain workflows, routing rules, dashboards, reporting structures, automations, and cross-functional visibility systems that reduce manual effort and improve accountability.
  • Lead project planning and pipeline management: Maintain a clear view of active, upcoming, and at-risk work across the Design & Brand team. You will help translate business priorities into realistic project plans, track timelines and dependencies, identify bottlenecks early, and ensure stakeholders understand tradeoffs when priorities shift.
  • Drive capacity planning and resource allocation: Partner with Design leadership to balance team capacity across campaigns, events, digital, video, web, sales enablement, localization, and brand initiatives. You will help assess workload, forecast resourcing needs, coordinate internal and external support, and ensure the team is not overcommitted.
  • Protect creative focus through clear process: Act as a diplomatic but firm process partner who helps stakeholders understand how to work effectively with the creative team. You will manage expectations, address scope creep, navigate rush requests, and help uphold service-level agreements, prioritization rules, and review timelines.
  • Coordinate complex global campaigns: Support the operational execution of multi-asset, multi-channel, and multi-region campaigns. You will coordinate timelines, reviews, localization handoffs, vendor dependencies, regional feedback, and final delivery logistics to ensure campaigns launch smoothly.
  • Improve visibility and reporting: Develop reporting systems that provide leadership and stakeholders with a clear understanding of project status, team capacity, request volume, turnaround times, and recurring operational pain points. You will use data to recommend process improvements and support better planning.
  • Partner with vendors and agencies: Coordinate with external creative agencies, freelancers, localization partners, and production vendors as needed. You will help manage timelines, deliverables, feedback loops, asset handoffs, and operational expectations so external work integrates smoothly with internal workflows.

Basic Qualifications

  • 8+ years of experience in creative operations, design operations, marketing operations, creative project management, production, or a similar role within an in-house creative team, agency, or fast-paced B2B environment.
  • Strong fluency in creative production workflows across digital, web, video, print, events, campaigns, localization, and sales enablement.
  • Expertise with project management and workflow tools such as Asana, Jira, Monday.com, Workfront, Airtable, or similar systems.
  • A proven ability to build scalable processes, automated workflows, dashboards, intake systems, and reporting structures.
  • Excellent communication skills, with the ability to translate between creative teams, marketers, executives, regional stakeholders, and technical partners.
  • Strong judgment around prioritization, resourcing, scope, and tradeoffs.
  • Confidence setting boundaries, managing expectations, and guiding stakeholders through structured processes without creating friction.
  • A proactive, solutions-oriented mindset and a deep respect for the creative process.
  • High attention to detail, strong follow-through, and comfort managing many moving pieces at once.

Bonus Qualifications:

  • Experience supporting global marketing teams, B2B technology companies, cybersecurity brands, or hardware/software product organizations.
  • Experience coordinating localization workflows and regional campaign adaptation.
  • Experience working with distributed teams across multiple time zones.
  • Familiarity with creative asset management, brand governance, and campaign production systems.
  • Experience partnering with external agencies, freelancers, localization vendors, or production partners.
