Our dynamic and fast-paced US subsidiary, located in San Francisco and part of a parent entity headquartered in Tokyo, Japan, is seeking a dedicated Administrative Assistant. In this role, you will ensure the smooth operation of our business by coordinating with accounting, legal, and HR teams based in Tokyo.



As our Administrative Assistant 

In this role, you will drive the coordination of the US office's corporate functions, including accounting, legal issues, HR support, and administrative tasks. You will play a key role in organizing company events, managing office supplies, and ensuring seamless internal and external communications. Additionally, you will support the development and implementation of corporate policies, handle employee inquiries, and contribute to various strategic projects. This is an exciting opportunity to make a significant impact in a dynamic and fast-paced startup environment.

 

What you will do 

  • Coordinate with the Japanese headquarters on accounting and financial matters.
  • Communicate and collaborate with lawyers regarding contracts and legal issues.
  • Assist in various administrative tasks, including document preparation, data entry, and report generation.
  • Support HR functions such as employee onboarding and maintaining employee records.
  • Develop and implement corporate policies and procedures.
  • Handle internal and external communications, including email correspondence and meeting coordination.
  • Assist in organizing company events and employee engagement activities.
  • Manage office supplies and ensure a well-organized workspace.
  • Conduct research and gather data to support business decisions.
  • Handle employee inquiries and provide support on various corporate matters.

What you will need 

  • Bachelor's degree in Business Administration, Finance, or a related field.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and take initiative.
  • High level of integrity and professionalism in dealing with confidential information.
  • Proficiency in GSuite (Google Docs, Sheets, Slides).
  • Familiarity with corporate software and systems is a plus.
  • Flexibility to adapt to a fast-paced and dynamic startup environment.
  • Japanese language proficiency is a must.
  • Professional level English proficiency.
