Vendor management Coordinator

WHO ARE YOU:

The Vendor Management Coordinator will be passionate about ensuring we have a well-run and organized vendor management function. The ideal candidate is detail-oriented and will ensure nothing slips through the cracks. You will ensure that all activities and tasks are tracked, reviewed, and completed in a timely manner. You will report to the Director of Vendor Management to support all activities of the vendor management organization.

WHAT YOU’LL DO:

  • Manage end-to-end vendor management and procurement across IT hardware and infrastructure, network and security equipment, telecom services, IT peripherals, HR staff augmentation, L&D, employee welfare, facilities procurement, and other indirect categories.

  • Work closely with teams such as IT, HR, Admin/Facilities, Finance, Legal, Risk, Operations, and our US procurement team to keep all vendor-related activities running smoothly.

  • Source vendors, collect quotations, prepare comparison sheets, and support benchmarking, RFP/RFQ work, and cost-saving initiatives.

  • Handle vendor onboarding from start to finish, including collecting documents, ensuring compliance requirements are met, coordinating risk reviews and guiding vendors through the process.

  • Create and manage PRs and POs, follow up on approvals, track deliveries, and support invoice closure with Finance.

  • Coordinate the contracting process with requester teams, Legal, and vendors so that agreements are reviewed, finalized, signed, stored, and tracked for renewals and expirations.

  • Maintain procurement trackers such as PR/PO logs, contract repositories, renewal calendars, vendor lists, and spend trackers.

  • Follow up regularly with internal teams and vendors to make sure all tasks and activities are completed on time.

  • Track vendor spend by category and department, and support audits, reporting, and basic spend summaries.

  • Look for opportunities to improve procurement process, strengthen compliance, and help reduce costs.

  • Communicate clearly with stakeholders across teams to ensure transparency and smooth coordination.

  • Familiarity with procurement or contract management tools like Coupa, Ironclad, or similar platforms is an advantage.

  • Strong follow-up skills, good attention to detail, and the ability to work comfortably with India–US time zone alignment are important for this role.

    WHAT YOU’LL NEED:
    • 3+ or more years experience coordinating complex processes and ensuring all tasks are tracked and completed
    • 8-10 years of overall experience in Procurement, Sourcing, Supply chain management and / or Contract management.
    • Ability to quickly learn new systems and leverage them to manage activities and drive tasks to completion
    • Ability to understand the nuances associated with managing each vendor’s unique contract and the sensitivity around who and how to communicate
    • Preferably experience working in vendor management or procurement
    • Excellent communication and presentation skills including advanced Microsoft Office Suite skills (Excel, Word, PowerPoint, and Teams)
    • High attention to detail, resourceful, well-organized, and good time management
    • Proven ability to work both independently and collaboratively as part of a team. Works to build effective relationships across the company
    • Detail-oriented and ability to manage multiple work streams and adjust priorities as needed in a deadline-driven environment
    • Exceptional interpersonal skills and the ability to work closely and effectively communicate with a senior audience in a high pressure, fast paced, highly collaborative environment with multiple deadlines and competing priorities
