Oversee executive calendars, prioritize tasks, resolve scheduling conflicts, and ensure smooth coordination of meetings and engagements

Plan internal and external meetings, All Hands, and events, managing logistics like conference rooms, catering, and preparation of materials

Submit monthly expense reports, process reimbursements, and coordinate domestic and international travel with fully detailed itineraries

Handle sensitive matters discreetly while upholding confidentiality in all administrative tasks

Maintain and update org charts, directories, and team initiatives like competitions and recognition programs for alignment and effective implementation

Demonstrated curiosity and active exploration of AI tools, with a proven history of integrating new technologies to enhance daily workflows and augment problem-solving

2+ years of experience providing executive-level administrative support

Proven ability to schedule and coordinate complex internal and external meetings, events, and logistical arrangements

Proficiency in tools such as Zoom, Outlook, Word, PowerPoint, Google Suite, and expense reporting platforms like Coupa

Strong organizational skills with the ability to manage multiple priorities, proactively resolve issues, and de-escalate challenges

Exceptional interpersonal communication skills, with experience collaborating across all levels of an organization and supporting interaction with external stakeholders

Demonstrated ability to build and maintain strong relationships with internal and external counterparts to ensure open communication and operational efficiency

High adaptability to changing circumstances, last-minute adjustments, and shifting organizational priorities

Willingness to travel to the U.S. 2-3 times per year to provide onsite logistics and support for key events
