- Job Title: Office Manager
- Job Summary: The Office Manager will run the day-to-day operation of our office, ensuring it runs smoothly and efficiently. In addition, they will utilize their past experience to provide support for leaders in a variety of departments in both Mexico and US offices to inform, research, and help navigate cultural/country issues, ensuring our policies and procedures are tailored to our Mexico workforce while being consistent with our core values.

What you’ll do
- Cross Departmental Partnership: Partner with corporate teams in the US and provide insights & recommendations for Mexico policies and processes, including:
- Security: Uphold health and safety guidelines and enforce compliance.
- Legal: Ensure organizational processes comply with legal regulations and standards.
- Finance: Manage office G&A budget, ensure accurate and timely reporting. Support corporate activities in accounting and financial reporting processes.
- People Team support: Partner with People Team to support People initiatives and update and maintain office policies as necessary. Assist in the onboarding process for new hires, collecting and managing required paperwork, prioritizing confidentiality at all times.
- Administrative tasks: Manage paperwork, process invoices, maintain databases, and update employee lists. Provide general administrative support to office leadership.
- Facilities Support: Organize the office layout, including moves, additions, and changes to workstations. Maintain supplies of stationery and equipment. Manage vendor relationships, including contract negotiations.
- Meetings and events: Schedule appointments, meetings, and events, and coordinate food deliveries. Plan in-house or off-site activities, like parties, celebrations and conferences. Provide general support to visitors, including ad hoc translation support when needed.
What you’ll bring
- 5-7 years of related professional experience.
- Bilingual English and Spanish; speaking and writing abilities at a near-native level is required.
- Experience partnering with cross-functional stakeholders, working with both local and US teams.
- Solid understanding of business requirements in Mexico, and ability to research new situations as they arise.
- A successful track record of providing excellent customer service and communication to all levels of an organization. Demonstrated ability to exercise discretion, sound judgment, tact and diplomacy in all communications.
- Proficiency in Microsoft Office Suite.
