Job Description:
The Office Manager is responsible for the day-to-day operations of the office and assigned remote locations, ensuring a safe, efficient, and welcoming workplace for employees, customers, and visitors. This role partners closely with HR, Facilities, IT, Finance, Marketing, and external vendors to support business operations, employee experience, and high-visibility corporate activities. The ideal candidate is highly organized, proactive, service-oriented, and comfortable managing multiple priorities across on-site and remote locations.
Key Responsibilities:
- Manage daily office operations, including space utilization, supplies, office snacks, mail services, and common areas
- Oversee remote office locations, including a warehouse facility and a WeWork location in Bellevue, WA, ensuring operational consistency and compliance
- Serve as primary point of contact for building management, WeWork community teams, landlords, and facilities vendors
- Coordinate office moves, buildouts, decommissioning projects, and vendor walkthroughs as needed
- Oversee maintenance requests, repairs, security access, and workplace safety procedures across all supported locations
- Ensure compliance with local health, safety, and workplace regulations
- Manage relationships with office and facilities vendors (cleaning, security, maintenance, office supplies, catering, etc.)
- Track contracts, renewals, invoices, and service levels across all locations
- Partner with Finance on budget tracking, purchase orders, and expense management
- Identify cost-effective solutions and operational efficiencies
- Support the planning and execution of corporate events and meetings, including customer meetings, leadership meetings, and internal events
- Coordinate logistics for corporate meetings, including room setup, technology readiness, catering, and on-site or remote support
- Provide logistical and on-site support for earnings calls, Board of Director meetings, virtual global Town Halls, and other company-wide meetings, partnering with Executive Leadership, Marketing, IT, and other Executive Assistants as needed
- Manage meeting-day readiness, including space configuration, vendor coordination, and issue resolution
- Ensure a professional and seamless experience for executives, employees, and external guests
- Serve as a primary point of contact for employees across supported locations, addressing workplace-related questions and needs
- Support onboarding and offboarding activities for office-based employees
- Assist with office-based and location-based events, meetings, and employee engagement activities
- Promote a positive, inclusive, and well-organized workplace environment
- Partner with HR, IT, Security, Finance, and Marketing to support office- and location-related processes and policies
- Maintain office documentation, procedures, and vendor records for all supported locations
- Support business continuity, emergency preparedness, and incident response planning
- Assist with special projects as assigned
- Other duties as assigned.
Requirements / Qualifications:
- 3+ years of experience in office management, facilities coordination, or workplace operations
- Experience supporting multiple locations or remote sites
- Strong organizational skills with the ability to manage competing priorities independently
- Excellent communication and interpersonal skills
- Proficiency with Microsoft Office
Desired Attributes:
- Experience supporting high-visibility corporate meetings (e.g., Town Halls, earnings calls, customer-facing meetings)
- Budget tracking or basic financial coordination experience

Working Conditions:
- Primarily on-site with responsibility for remote location oversight, including periodic visits to the warehouse and Bellevue WeWork location
- May require occasional flexibility outside standard business hours to support events or company-wide meetings
