Role Summary
As the Recruitment & Growth Operations Coordinator, your mandate is clear: to build, optimise, operate, and continuously improve the systems that drive high-volume enrollments across ALX programs, with success measured against ambitious recruitment targets.
You will sit at the intersection of data, marketing operations, and growth execution, using insights to improve conversion, guide outreach strategies, and ensure we reach the right talent at the right time. You will design and manage the recruitment data infrastructure that tracks the full lifecycle of our applicant pool and informs decision-making across marketing and sales teams.
You will build the systems, processes, and operational workflows that power the recruitment funnel, including performance tracking, call center operations, communication automation, and conversion optimization.
Specific Responsibilities
End-to-End Funnel Ownership
- Funnel Performance Ownership: Own visibility into and performance of the full recruitment funnel from lead generation through enrollment, ensuring clear tracking, accountability, and continuous optimization across all stages.
- Bottleneck Identification: Identify bottlenecks and drop-off points across the funnel and define targeted interventions to improve conversion and efficiency.
- Target Accountability: Own contribution to achieving enrollment targets by ensuring the funnel consistently delivers required volume and conversion performance.
Growth and Conversion Strategy
- Conversion Strategy Development: Translate data insights into actionable strategies that improve lead quality, conversion rates, and enrollment outcomes across marketing, outreach, and engagement channels.
- Cross-Functional Alignment: Work closely with marketing and outreach teams to ensure campaigns are aligned with funnel performance insights and recruitment priorities.
Strategic Performance Tracking & Dashboard Architecture
- Source of Truth: Develop and maintain a robust, scalable data infrastructure using Looker Studio linked to core CRMs, ensuring real-time visibility from Top of Funnel (TOFU) through to Paid Enrollment.
- Funnel Insights: Track the lifecycle of applicants and surface clear, actionable insights to inform decision-making across marketing, outreach, and sales teams.
- Revenue Operations: Monitor the Enrolled to Paid pipeline, identifying trends in payment behaviour to support Finance and Sales teams in reaching revenue targets.
Operational Intelligence (Call Centre & Automation)
- Call Center Performance: Manage operational metrics of the call center, ensuring agents meet targets and effectively convert interest into successful enrollments.
- Automation Execution: Lead the execution of targeted SMS and email campaigns using CRM and workflow tools, ensuring timely and relevant communication across the applicant journey.
- Script Optimisation: Regularly audit call scripts and objection-handling approaches based on data outcomes to improve agent performance and conversion rates.
Key Partnerships & Event Operations
- Event ROI Tracking: Collaborate with other City teams to track lead quality from high-yield activities (e.g., hackathons, university tours), ensuring events translate into measurable pipeline and enrollments.
- Lead Generation Systems: Work with partners (universities, student clubs) to structure data capture and lead-sharing mechanisms that feed directly into the central recruitment pipeline.
Web & Tech Optimisation
- User Experience Optimization: Collaborate with the tech team to optimize local landing pages, ensuring content and user flows align with current recruitment priorities and improve conversion.
Requirements
- Professional Experience: 3–5 years of experience in data analytics, sales operations, recruitment operations, or growth-focused roles, including managing high-volume funnels and translating data into operational strategy.
- Analytical and Growth Thinking: Strong ability to interpret data, identify patterns, and translate insights into actions that improve conversion, efficiency, and enrollment outcomes across a high-volume funnel.
- Experimentation and Optimization: Experience designing and running experiments (e.g., messaging, timing, channel mix) to improve conversion rates and funnel performance.
- Stakeholder Influence: Ability to influence cross-functional teams (marketing, sales, operations) using data to drive alignment and improve performance outcomes.
- Data and Systems Proficiency: Proficiency in tools such as Looker Studio, Excel/Google Sheets, and CRM platforms (e.g., HubSpot), with the ability to build dashboards, track performance, and manage large datasets. Working knowledge of SQL or Python (Pandas) to query, clean, and structure data is strongly preferred.
- CRM and Funnel Management: Experience managing and optimising CRM systems (e.g., HubSpot, Ehub), including pipeline tracking, segmentation, and lifecycle management across large applicant pools.
- Automation and Communication Systems: Experience designing and executing automated communication workflows (SMS, email) using CRM or similar tools to improve engagement, conversion, and user progression through the funnel.
- AI and Automation Fluency: Ability to leverage AI-powered tools and automation workflows to improve data analysis, communication, and operational efficiency across the recruitment funnel.
- Operational Execution and Performance Management: Proven ability to manage operational workflows (e.g., call centres, outreach teams), set performance targets, and monitor execution to drive measurable outcomes.
- Execution and Delivery: Strong bias toward action with the ability to manage multiple priorities, operate under pressure, and consistently deliver against ambitious enrollment targets.
