ARCO/Murray is looking for a Document Controls Manager with hands-on construction experience and strong Procore expertise to lead document-control strategy and execution across construction and project teams. This role will establish standards, oversee document-control processes and systems, develop and support document-control professionals, and partner with project stakeholders to ensure information is accurate, secure, accessible, and managed throughout the project lifecycle.

A DAY IN THE LIFE

  • Lead the document-controls function across assigned construction and project teams, establishing clear ownership, priorities, and service expectations.
  • Develop, implement, and continuously improve document-control standards, procedures, templates, workflows, and records-management practices.
  • Oversee the creation, review, distribution, revision, approval, retention, and archival of project documents, drawings, procedures, and records.
  • Establish and maintain document registers, metadata, naming conventions, permissions, revision histories, transmittals, and approval workflows.
  • Manage Procore and other document-control systems and repositories, ensuring information is organized, secure, accessible, and aligned with project requirements.
  • Partner with project management, design, engineering, procurement, field operations, subcontractors, clients, and other stakeholders to maintain accurate and timely project information.
  • Monitor performance, conduct audits, identify risks and gaps, and implement corrective actions that support project timing, quality, compliance, and closeout.
  • Lead preparation for internal and external reviews and ensure documentation is complete, traceable, and audit-ready.
  • Hire, coach, develop, and support document-control team members; establish consistent practices and provide ongoing feedback and training.
  • Deliver training and guidance to project teams and system users on document-control requirements, tools, and best practices.
  • Develop reporting and metrics that provide visibility into document status, workflow performance, compliance, and areas for improvement.
  • Evaluate document-control tools and recommend process or technology improvements that increase efficiency and reduce risk.
  • Escalate issues that may affect project schedule, quality, contractual requirements, information security, or compliance, and drive them to resolution.

 

NECESSARY QUALIFICATIONS

  • Bachelor’s degree in business, construction management, information management, engineering, or a related field preferred.
  • 7+ years of experience in document control, records management, project administration, or a related discipline, including experience leading or supervising others.
  • 5+ years of experience working in commercial construction, design-build, general contracting, or a related construction environment required.
  • Demonstrated experience developing and implementing document-control standards, procedures, workflows, and quality controls.
  • Hands-on experience using Procore for document management, drawings, submittals, RFIs, transmittals, workflows, or related project processes required.
  • Proficiency with Microsoft Office and other document-management, collaboration, or construction project-management systems.
  • Strong understanding of document lifecycles, revision control, approvals, transmittals, audit requirements, and records retention.
  • Strong leadership, communication, organization, problem-solving, and attention-to-detail skills.
  • Ability to influence stakeholders, manage competing priorities, and build effective relationships across project teams.
  • Ability to maintain accurate records, protect confidential information, and exercise sound judgment in a fast-paced environment.

This represents typical base compensation for the role. Candidates with extensive experience may exceed this range. In addition to base salary, the role is eligible to receive discretionary bonus compensation based on individual and company performance.

Pay Range

$90,000 - $100,000 USD
