
Executive Assistant to the Chief Human Resources Officer

THE OPPORTUNITY
We are looking for a seasoned Executive Assistant with prior experience supporting a Chief Human Resources Officer (CHRO) in a fast-paced, high-growth environment. The EA will provide exceptional executive support, manage complex calendars, handle confidential information with discretion, and assist in various HR functions, ensuring seamless operations within the department.
THE ROLE
Executive Support
- Provide high-level administrative support to the CHRO and HR Leadership Team, anticipating needs and proactively managing priorities.
- Manage complex calendars, scheduling meetings across multiple time zones with internal and external stakeholders.
- Prepare and organize materials for leadership meetings, board presentations, and HR initiatives.
- Handle travel arrangements, including flights, accommodations, and itineraries.
- Process and manage expense reports, ensuring compliance with company policies.
- Act as the primary point of contact for the CHRO, maintaining professionalism and confidentiality.
HR Operations Support
- Support Benefits team with invoicing and vendor coordination.
- Assist Talent Acquisition with scheduling interviews and coordinating candidate experiences.
- Support employee recognition programs and initiatives.
- Facilitate onboarding and offboarding process for temporary and contract employees, ensuring a seamless experience.
- Assist with culture and engagement activities, including coordinating quarterly Anchor Weeks and bi-weekly All-Company Virtual Teams Meetings.
- Provide logistical support for HR-led company-wide events.
- Oversee the HR Intranet page and manage the content.
- Daily review and triage of items within the HR Mailbox.
- Be the HR Point of Contact for the vendor contracting process.
REQUIRED QUALIFICATIONS
- 8+ years of experience as an Executive Assistant, with at least 3 years supporting a CHRO or senior HR executive.
- Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Exceptional attention to detail, problem-solving skills, and the ability to anticipate needs.
- Strong proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and collaboration tools like Microsoft Teams and Zoom.
- Experience handling confidential and sensitive information with discretion.
- Excellent communication skills, both written and verbal.
- Proactive mindset with a team-oriented approach and the ability to work independently.
PREFERRED REQUIREMENTS
- Bachelor’s Degree a plus but not required
- Experience in biotech, pharmaceutical, or healthcare industries is a plus.
