Position Description:

Arlo Solutions is seeking a highly organized Project Coordinator to support its Project Manager and team at the HHS Office of Acquisitions. Where the Project Manager owns contract performance, client relationships, and staffing decisions, the Project Coordinator keeps the work moving: tracking tasks, deadlines, and action items; maintaining schedules and trackers; assembling reports and event materials; and following up to make sure nothing falls through the cracks.

Responsibilities and/or Success Factors: 

Task and Deliverable Tracking

  • Maintain the team's master task, action-item, and deliverable trackers, and follow up with owners on status and upcoming deadlines.
  • Track PWS deliverable due dates (e.g., Monthly Program Status Reports, meeting summaries, after-action reports) and alert the Project Manager to risks of missing deadlines.
  • Track the status of requisition packages as they move through routing.
  • Maintain organized, version-controlled project files in the Government-designated repository.

Reporting Support

  • Gather inputs from team members and draft sections of the Monthly Program Status Report and Annual Progress Report for Project Manager review.
  • Compile performance data (e.g., timeliness of meeting notes and deliverables) to support quality control.
  • Prepare status slides, dashboards, and summaries for the Project Manager.

Meeting and Schedule Coordination 

  • Schedule internal team meetings and planning sessions, prepare agendas, take notes, and distribute action items.
  • Maintain team coverage calendars, leave schedules, and onboarding checklists (e.g., status of background investigations, PIV cards, NDAs, and required training). Event Coordination Support
  • Provide support for execution of HHS conferences, as directed by the Government.
  • Track project deliverables, timelines, stakeholder information, and supporting materials across multiple workstreams, including up to two annual HHS conferences.
  • Coordinate project logistics and resources, including scheduling, technical setup, and virtual or hybrid collaboration tools, to keep work moving on schedule.
  • Provide on-site and remote support during key project milestones, monitor progress, and escalate risks or issues to the Project Manager.
  • Maintain project documentation, compile records and reports, and track action items through project closeout.


Minimum Qualifications Including Certificates: 

  • Bachelor's degree and two (2) or more years of project coordination, project support, or administrative experience, OR a high school diploma and four (4) or more years of equivalent experience.
  • Exceptional organizational skills and attention to detail, with a track record of managing many tasks and deadlines at once.
  • Advanced proficiency with Microsoft Excel and Word, and experience with SharePoint, Microsoft Teams, or similar collaboration tools.
  • Experience building and maintaining trackers, schedules, and project plans.
  • Clear written communication skills and comfort following up with people at all levels.
  • Ability to obtain and maintain an HHS background investigation and PIV card.
  • Ability to obtain and maintain a Secret Level clearance.


Desired Qualifications: 

  • Experience supporting Federal Government customers or contracts.
  • Experience with project management tools (e.g., Microsoft Project, Planner, Smartsheet).
  • CAPM (Certified associate in project management) or progress toward PMP. 
  • Experience coordinating conferences, virtual/hybrid events, and large meetings.
  • Familiarity with Section 508 document accessibility.
