Executive Business Partner
About the Company
We're looking for a highly organized, proactive, and mission-driven Executive Business Partner (EBP) to support our Chief Technology Officer (CTO). This is a strategic and autonomous role best suited to professionals who operate independently, exercise broad judgment, and drive cross-functional impact across the organization.
You'll manage critical administrative workflows while also serving as an operational partner to executive leadership, contributing to initiative tracking, cross-functional alignment, and strategic prioritization. This is not a Chief of Staff position, but you will work closely with one, serving as an essential extension of executive leadership.
The right candidate anticipates needs before they arise, handles sensitive information with discretion, and brings order to complexity in fast-moving environments.
Location: Bellevue, WA - Onsite 3 days per week
What You’ll Do
Executive Administration & Support
- Own daily management of complex, shifting calendars across time zones and teams.
- Coordinate internal and external meetings, including agenda creation, briefing materials, and post-meeting follow-ups.
- Manage domestic and international travel while anticipating logistical needs, optimizing itineraries, and ensuring everything runs smoothly.
- Serve as gatekeeper and liaison for the CTO, including filtering inbound requests, drafting correspondence, and driving timely responses.
- Prepare expense reports and handle light administrative finance tasks with precision.
- Provide travel, calendar and expense management support to our Chief AI Officer
Strategic & Operational Enablement
- Support execution of executive-level priorities by tracking initiatives, timelines, and cross-functional dependencies while exercising independent judgment on prioritization and escalation.
- Partner with R&D leadership on meeting rhythms and planning sessions, including helping bring structure, clarity, and accountability across complex workstreams.
- Coordinate leadership off-sites, team all hands, and department-level events that drive alignment and connection.
- Draft internal updates, presentation decks, and high-level documentation on behalf of executives for internal and external stakeholders.
- Identify gaps in process or communication and proactively propose solutions.
Cross-Functional Collaboration
- Work closely with teams across engineering, product, hardware and the broader business, while adapting style and approach to diverse stakeholders.
- Act as a connective thread across departments and facilitate communication, surfacing risks, and advising others on complex coordination matters.
- Network with and influence key contacts outside your immediate area to deliver on executive priorities.
Confidentiality & Professionalism
- Handle sensitive and confidential information with the utmost discretion.
- Serve as a trusted representative of the CTO, building relationships at all levels and acting as a culture ambassador across the organization.
Required Qualifications
- 8+ years supporting C-level executives in high-growth, fast-paced environments, ideally in tech, R&D, or engineering-centric companies.
- Demonstrated ability to operate autonomously, exercise broad judgment, and resolve complex and ambiguous situations with limited direction.
- Proven track record managing competing priorities across multiple senior stakeholders in fast-paced, high-growth environments.
- Strong ability to navigate shifting timelines, high-volume execution, and evolving business needs with discretion, sound judgment, and attention to detail.
- Comfort operating in ambiguity and helping create structure in rapidly evolving environments.
- Excellent verbal and written communication skills; able to advise and influence across levels.
- Experience handling confidential information and sensitive business matters with professionalism and discretion.
- Strong proficiency with Microsoft Office including Microsoft Teams, Zoom, and tools like Travel Perk, Airbase, and AI tools for project and workflow management.
Preferred Qualifications
- Experience supporting a Founder, CTO, or senior technology executive in a high-growth startup environment.
- Familiarity with engineering organizations, product development lifecycles, and cross-functional collaboration between technical and business teams.
- Demonstrated ability to drive operational rigor, meeting cadence, follow-through, and executive communications in a fast-scaling environment.
- Exceptional written and verbal communication skills, including preparing executive briefings, presentations, and internal updates.
- Strong organizational skills with high attention to detail and the ability to anticipate needs proactively.
- Experience partnering with distributed or hybrid teams across multiple time zones.
- Proficiency with collaboration and productivity AI tools

In addition to base salary, this role will also be offered equity and subsidized benefits (details available upon request).

Compensation
$131,000 - $155,000 USD
