Position Summary:

The Legal Operations Specialist plays a critical role in advancing and scaling Atlas’s legal operations by managing complex legal processes, corporate governance, and global compliance initiatives. This position acts as a strategic partner across Legal, Finance, HR, and other business functions to drive operational efficiency, mitigate risk, and ensure the seamless delivery of legal services across multiple jurisdictions.

Key responsibilities include overseeing contract lifecycle management, supporting entity governance, and managing international legal documentation (including notarizations and apostilles), while upholding the highest standards of accuracy, compliance, and organization. This role also owns and optimizes the end-to-end signature process for legal documents, ensuring proper authorization, efficient routing, timely execution, and secure storage of fully executed agreements.

In addition, the Senior Legal Operations Specialist leads and executes high-impact legal operations projects, including process improvements, technology implementations, and workflow standardization initiatives. This includes managing project timelines, coordinating cross-functional stakeholders, tracking key milestones, and driving successful, on-time delivery.

The ideal candidate brings advanced project management expertise, a high degree of autonomy, and a strategic, solutions-oriented mindset. They are skilled at building scalable processes, improving operational visibility, and driving continuous improvement to enhance the effectiveness and maturity of the legal operations function.

 

Key Responsibilities:

  • Lead and manage legal operations projects from initiation to completion, including process improvements, technology implementations (e.g., CLM systems), and policy enhancements, ensuring delivery on time and within scope.
  • Maintain, optimize, and scale legal databases, document repositories, and contract management systems to improve efficiency and visibility.
  • Manage end-to-end signature workflows for legal documents, including routing, tracking, and execution through e-signature platforms (e.g., DocuSign)
  • Coordinate with internal stakeholders and external parties to ensure timely review, approval, and execution of agreements
  • Maintain visibility into signature status, proactively following up to prevent delays and ensure deadlines are met
  • Oversee contract lifecycle management, including reviewing and managing contracts, NDAs, and other legal documents to ensure accuracy and completeness
  • Support domestic and international entity governance, including maintaining corporate records
  • Coordinate and manage international document authentication processes, including apostilles and notarizations, ensuring compliance with jurisdictional requirements.
  • Conduct legal research and deliver clear, actionable summaries to support business decision-making.
  • Partner cross-functionally with Finance, HR, Sales, and other departments to align legal operations with business objectives.
  • Serve as a key point of contact for internal and external stakeholders, proactively managing communications, resolving issues, and ensuring follow-through.

 

Qualifications:

  • Bachelor’s degree in legal studies, Business Administration, or a related field; Paralegal certification is a plus.
  • Extensive experience with apostille processes and international document legalization requirements.
  • 8+ years of experience in a corporate legal or legal operations role, preferably within a mid-to-large organization.
  • Excellent project management skills, with a demonstrated ability to lead cross-functional initiatives, manage timelines, and drive results.
  • Strong expertise in corporate governance, entity management, and regulatory compliance.
  • Exceptional organizational, analytical, and communication skills.
  • Proficiency in legal research tools, contract lifecycle management systems, and document management platforms.
  • High level of discretion and integrity in handling sensitive legal matters.
  • Notary Public Certification in Illinois or willingness to obtain; experience notarizing corporate documents preferred.

 

Preferred Skills:

  • Advanced project management skills, including experience leading cross-functional initiatives, managing timelines, and delivering results in complex environments
  • Change management experience, including driving adoption of new tools, systems, or processes
  • Ability to lead initiatives independently while maintaining attention to detail and operational excellence
  • Experience with legal technology platforms (e.g., DocuSign, e-billing tools, entity management software, workflow automation tools)
  • Process optimization mindset with experience implementing scalable, efficient legal workflows
  • Experience supporting or implementing legal operations frameworks (e.g., matter management, knowledge management, playbooks)
  • Strong stakeholder management and communication skills, with the ability to influence across all levels of the organization
  • Experience working in global or multi-jurisdictional environments, including cross-border legal processes
  • High level of business acumen and ability to align legal operations with broader organizational goals
  • Strong problem-solving skills with a proactive, solutions-oriented approach
