
Administrative Assistant, Portfolio Support

Audax Group seeks an Administrative Assistant to support the Portfolio Support Team. The ideal candidate will have previous administrative experience (ideally supporting a team of individuals). The person in this role must be detail-oriented, forward thinking, able to work collaboratively, and in possession of a deep appreciation for working with different personalities. The position involves working in a fast-paced environment, multi-tasking, and handling heavy administrative duties. A team-oriented mindset and outlook is the key to success in this role.
RESPONSIBILITIES INCLUDE BUT WILL NOT BE LIMITED TO:
Administrative Support
- Provide executive-level administrative support to senior members of the Portfolio Support Team.
- Partner with the Portfolio Support Team Coordinators to provide seamless administrative coverage to the team.
- Support in organizing and running Audax events, including cross-portfolio summits, with responsibilities for logistics, setup, and coordination.
- Input data and manage basic functionalities in systems.
- Candidate should have the ability to anticipate the team’s needs/requirements and actively resolve issues.
- Calendar management requiring the coordination of numerous meetings, via conference call, Zoom, and in-person, including entering and maintaining internal and external appointments/meetings.
- Phone coverage
- Travel coordination
- Generate expense reports in compliance with company policies using Concur.
- Execute various weekly internal reporting requirements.
- Email management
- Other general administrative duties such as filing, Federal Express mailings, updating contact lists, etc.
MAJOR AREAS OF ACCOUNTABILITY:
Organization and Coordination
- Handle day-to-day administrative needs of the team.
- Run and distribute weekly reporting.
- Coordinate calendars, meetings, and time demands with only broad direction.
- Recognize urgent or time-sensitive requests and prioritize.
- Database entry and updates
- Execution of expense reports
- Perform a variety of other administrative duties that might include:
- Screening and directing phone calls.
- Creating documents, reports, presentations, and spreadsheets
- Organizing on-site meetings. This will include reserving meeting rooms and meeting/catering set-up.
- Organizing files, faxing, mailing, scanning, photocopying, data entry, etc.

- Extremely well organized and able to assist others in bringing order to complex issues and situations.
- Strong interpersonal skills and the ability to connect with people -- both in person and through virtual media.
- Excellent verbal and written communication skills
- Manage confidential and sensitive information using appropriate discretion.
- Able to personally manage change and adapt work style in response to the dynamic nature of the organization.
- Can manage multiple tasks in an environment of tight deadlines and high-quality standards.
- Able to operate autonomously and collaboratively.
- Technically curious with proficiency in the Microsoft Office tools (i.e., Excel, Word, PowerPoint.)
REQUIREMENTS:
- Previous administrative experience
- Bachelor's degree preferred
- Strong MS Word, Excel, Outlook, PowerPoint and writing skills
- Ability to multi-task and juggle many tasks at once
- MUST be team oriented, extremely detail oriented, and possess a “no task too small” mindset
- Excellent organizational skills and a professional, proactive attitude
- Ability to quickly pivot tasks based on teams’ needs and adapt to daily schedule changes
