Your Impact
As a Senior Office Manager, you’ll be at the heart of our day-to-day operations, ensuring our dynamic and fast-growing, 400-person R&D hub runs smoothly, safely, and efficiently. You’ll be more than a problem-solver—you’ll be a builder, crafting a workplace that’s not just about desks and chairs, but a vibrant hub of innovation, connection, and culture , fully integrated with our global offices. You’ll be an enabler enhancing the employee experience and optimizing operational processes from facilities, vendor management to travel and engagement event arrangements.
What You’ll Do
- Oversee the day-to-day office administration and ensure the office is running smoothly and sustainably. This includes, but is not limited to, office facility and administration management, travel/immigration arrangements, shipping logistics, office-related benefits such as Annual Health Check and engagement event organizing:
- Manage office facilities, including maintenance, expansions, renovations, and seat planning.
- Maintain a high standard for the Vietnam office environment, ensuring compliance with global and local Environmental, Health & Safety (EHS) regulations.
- Proactively review, improve, and implement company policies and processes related to office operations, facilities, travel, and logistics.
- Lead and execute special projects involving multiple stakeholders, including internal teams, consultants, and external vendors.
- Source, build and maintain a best relationship with vendors for various office operations activities, from customs clearance, travel arrangement to immigration.
- Own budgeting process for office operations in Vietnam.
- Collaborate with corporate Finance, People Ops, and IT departments to resolve cross-functional operational matters and drive results.
- Partner and collaborate with global Facilities, Shipping, Trade Compliance teams to act as a local trusted partner to drive end results.
- Act as point person with building management team, related local authority/public departments to keep the office operations in compliance with local regulations related to Office facilities, Environmental, Health & Safety.
- Plan and execute logistics for employee engagement activities, fostering a positive and connected office culture.
What You Bring
- Proven experience in office management or workplace operations, preferably in a multinational or fast-paced tech environment.
- Highly organized, detail-oriented with a strong track record in improving office administration, operation workflows
- Excellent communication skills in both Vietnamese and English.
- Collaborative mindset with the ability to work cross-functionally and influence without authority.
- Customer-focused, with a positive attitude and a service-oriented approach.
- Creative and resourceful problem-solver who takes initiative and adapts quickly to change.
- Entrepreneurial mindset with a proactive, ownership-driven approach to challenges and improvements.
- Comfortable working autonomously and managing multiple priorities in a dynamic environment.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
