We are seeking an experienced, proactive, energetic, and highly organized Administrative Assistant to support one of our senior executive assistants.

This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The right candidate will be capable of prioritizing and managing multiple projects in a dynamic, ever-changing environment, and is a natural self-starter with strong administrative and project related skills.

This role is based within our Kirkland, WA office and would require being onsite 4 days per week.

Responsibilities:

  • Support calendar management by helping to schedule and coordinate meetings, flagging conflicts and escalating as needed to the Senior EA.
  • Set up internal and external meetings, including sending invites, reserving conference rooms, and preparing basic agendas.
  • Help take notes and track action items during meetings to document decisions and next steps.
  • Collaborate with the Senior EA and other administrative staff to support a smooth hiring process (scheduling interviews, coordinating availability, etc).
  • Assist with domestic and international travel arrangements under the guidance of the Senior EA.
  • Create and submit expense reports on behalf of the team.
  • Support team building activities, off-sites, and social events (logistics coordination, vendor communication, etc).
  • Assist with office management as needed including conference room setup, maintaining office supply stock, and handling incoming and outgoing mail and deliveries.
  • Help with onboarding coordination for new hires, including scheduling and logistics support.

Qualifications:

  • Bachelor's degree preferred but not required.
  • 1–3 years of administrative or executive support experience; experience in a fast-paced tech or startup environment is a plus.
  • Familiarity with Google Suite (Calendar, Docs, Sheets, Gmail).
  • Clear written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Eagerness to learn and grow within an administrative support function.
  • A proactive, team-oriented mindset with a willingness to take direction and collaborate closely with senior colleagues.
