Executive Assistant & Investor Relations Coordinator

Reporting to Corporate Headquarters in Toronto, Ontario, Canada

Reports To: Chief Executive Officer
Location: Toronto (hybrid, 2-3 days/week)

Position Summary

The Executive Assistant & Investor Relations Coordinator provides high-level administrative support to the Chief Executive Officer while assisting with the coordination and preparation of investor relations activities. This role plays a key part in ensuring the CEO’s office operates efficiently and that investor-facing materials, communications, and events are well organized and executed.

The successful candidate will support the CEO’s scheduling, travel, and communications while assisting the preparation of investor presentations, maintaining shareholder information, and coordinating investor outreach activities. The role requires exceptional organizational skills, strong attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced public company environment.

Key Responsibilities

Executive Support

  • Support the CEO with schedule management, including coordination of investor-related events, Board meetings, and travel schedules.
  • Coordinate domestic and international travel arrangements, including itineraries, logistics, and expense reporting.
  • Prepare briefing materials, meeting agendas, and background information for executive meetings.
  • Draft and manage executive correspondence, communications, and follow-ups.
  • Support preparation and coordination of Board materials and executive-level presentations.
  • Manage confidential information with a high degree of discretion and professionalism.
  • Coordinate internal and external meetings including logistics, scheduling, and materials preparation.

Investor Relations Coordination

  • Assist in preparing investor presentations, fact sheets, and other investor-facing materials.
  • Maintain and update the company’s corporate presentation and investor materials as required.
  • Support preparation for investor meetings, conferences, and roadshows including logistics, scheduling, and briefing materials.
  • Maintain and update shareholder registers and investor contact databases.
  • Coordinate investor inquiries and direct requests to the appropriate internal stakeholders.
  • Assist with organization of investor conference travel, earnings-related communications, and other investor engagement activities.
  • Coordinate with finance, legal, and corporate development teams to ensure investor materials are current and accurate.
  • Other tasks as required.

Qualifications

Education

  • Bachelor’s degree in Business, Finance, Communications, or a related field, or an equivalent combination of education and relevant experience.

Experience

  • Minimum 5 years of experience supporting senior executives, preferably in a public company environment.
  • Experience working in mining, natural resources, or investment banking environments is preferred.
  • Experience in investor relations, capital markets, finance, or corporate communications is an asset.
