We are currently looking to hire an Administrative Assistant, Security Programs, to join our Corporate team in Kirkland! This position allows for remote working arrangements within the United States.

JOB DESCRIPTION

The Administrative Assistant, Security Programs will play a key role in supporting Concentric’s Embedded Management team by ensuring program data is accurate, organized, and up to date. This position is designed to reduce the administrative workload of Account Managers and leadership, allowing them to focus on strategic priorities and client relationships. The role encompasses a wide range of responsibilities, from data entry, reconciliation, and Salesforce updates to preparing presentations, tracking security-related certification expirations, and maintaining workflows and data in Monday.com. With an emphasis on detail, consistency, and reliability, the Administrative Assistant, Security Programs helps drive operational efficiency and contributes directly to the success of embedded programs.

RESPONSIBILITIES

  • Perform accurate data entry, reconciliation, and quality control to maintain data integrity across several platforms, including Monday.com, Salesforce, and Google Suite. 
  • Update and manage tasks, workflows, and projects in Monday.com to support operational efficiency. 
  • Enter and maintain records in Salesforce and other program management platforms. 
  • Support the Embedded Management Team with scheduling, meeting preparation, and follow-up documentation.
  • Assist with preparing client-facing materials and documentation, including proposals, RFP responses, contracts, statements of work, bill rate documentation, and Quarterly Business Review (QBR) presentations, etc.
  • Maintain tracking logs for new business, hiring, training, employment status, and required licenses/certifications for security personnel.
  • Coordinate and collaborate with peers in a cross-functional capacity in support of program operations. 
  • Assist in drafting and maintaining SOPs for clients and embedded operations.
  • Monitor and update task lists/action items to ensure deliverables are completed on time.
  • Compile data for regular staffing program reports and assist with analysis to identify process improvements.

 REQUIRED QUALIFICATIONS: 

  • Bachelor’s degree 
  • 1–3 years’ experience in administrative support, data entry, or operations coordination; experience with database management, data reconciliation, or tracking systems preferred.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities in a deadline-driven environment
  • This position requires up to 10% travel.

$55,000 - $65,000 USD
