Job Overview

This is an in-person position based in our Needham, MA office, where you'll also play a hands-on role in shaping our office culture and ensuring operations run smoothly.

Key Responsibilities:

 

Calendar & Daily Operations Support

  • Own and manage the CEO’s dynamic calendar with autonomy and judgment, anticipating conflicts, preparing for key discussions, and aligning priorities
  • Provide a daily summary to the CEO contextualizing meetings, actions, and relevant follow-ups
  • Identify stakeholders for meetings based on business context (e.g., connecting the dots on who needs to be involved in strategic conversations)

Executive & Team Support

  • Coordinate travel, expenses, and logistics for the CEO and other members of the executive team
  • Prepare and format meeting materials (agendas, summaries, reports, presentation slides) and ensure follow-ups are tracked
  • Manage confidential information with a high degree of discretion and professionalism

Office Administration (Needham HQ)

  • Support office operations including supply and kitchen stock management, snack and coffee ordering, and light vendor coordination
  • Assist in organizing on-site leadership events, team experiences, and executive offsites

Technology & Analysis Support

  • Use Microsoft Excel and internal tools to assist with light reporting tasks, such as formatting pipeline data or highlighting trends for executive review
  • Provide proactive insight into data and suggest areas of focus when applicable

 

 

Required Skills and Qualifications:

  • Proven experience supporting multiple senior executives in a fast-paced environment
  • Mastery of Outlook calendar and email management, Microsoft Office Suite (Excel), and Zoom
  • Strong written and verbal communication skills
  • Ability to juggle competing priorities with grace, professionalism, and discretion
  • Detail-oriented with a proactive and solutions-focused mindset
  • Reliable transportation for in person support at our Needham, MA Office
  • Bachelor's degree in business, communications, or a related field preferred

 

Salary Range for this position (depending upon experience): 

$80,000 - $100,000

 

This range reflects the minimum and maximum targets for new hires across all US locations (with the exception of MA, NY, and CA). Within the range, individual pay is determined by job-related skills, experience, work location, and relevant education or training.
