We are seeking a highly organized, proactive, and polished Personal Executive Assistant to support our CEO and C-Suite leadership team. This is a high-visibility role requiring exceptional judgment, discretion, flexibility, and responsiveness.
The ideal candidate is comfortable operating in a fast-paced executive environment, managing shifting priorities, and handling both strategic coordination and day-to-day administrative responsibilities. This person must be available to work a 10-hour day, remain highly available, and adapt quickly to last-minute changes, including travel and in-person support needs.
This is an opportunity to play a critical role at the center of CoreView’s executive operations. You will work closely with senior leadership and help enable a high-performing global executive team through seamless coordination, trusted support, and operational excellence.
A candidate based in the Washington, DC area is highly preferred.
Key Responsibilities:
Executive Support
- Manage complex calendars for the CEO and C-Suite team across multiple time zones
- Coordinate internal and external meetings, ensuring schedules are optimized and conflicts are resolved quickly
- Serve as a trusted gatekeeper and point of coordination for executive scheduling needs
- Prepare leadership for daily meetings, travel, and priority engagements
Travel Coordination
- Arrange domestic and international travel for the CEO and C-Suite team
- Manage detailed travel itineraries, including flights, hotels, ground transportation, visas as needed, and last-minute changes
- Be available to support travel planning on short notice for locations including DC, London, Milan, and other executive travel destinations
- Ensure smooth travel logistics and contingency planning for executive movement
Expense Management & Administration
- Prepare and submit expense reports accurately and on time
- Track receipts, reconcile travel and business expenses, and ensure compliance with company processes
- Support ad hoc administrative needs for the CEO and leadership team
Office & In-Person Support
- Be physically present when our CEO is in town and on various other occasions to help maintain office readiness, organization, and cleanliness
- Support executive and guest visits in the DC office, particularly when visitors are onsite and the assistant is needed to coordinate logistics (Manage our wework site, office snacks, drinks, team building events, dinner reservations, etc).
Qualifications:
- Proven experience supporting a CEO, senior executive, or C-Suite team in an executive assistant or personal assistant capacity
- Exceptional calendar management and travel coordination skills
- Experience handling expense reporting and executive administration
- Strong ability to manage multiple priorities with speed, accuracy, and professionalism
- Highly responsive and comfortable working in a role that requires 10-hour daily availability
- Strong communication skills, both written and verbal
- High degree of discretion, confidentiality, and sound judgment
- Comfortable with frequent short notice travel and changing schedules
- Ability to work across international time zones and executive travel demands
- Based in the Washington, DC area preferred
