Office Manager
OFFICE MANAGER
The Office Manager is responsible for overseeing and coordinating the day-to-day administrative operations of the office. This includes managing office resources, supporting staff, organizing schedules, and ensuring the office runs smoothly and efficiently. The role requires strong organizational, communication, and problem-solving skills to support the overall productivity of the organization.
This role will be filled in our Irving, Texas headquarters (on-site)
How You’ll Make an Impact
Office Operations:
- Manage Office Supplies: Ensure the office is fully stocked with necessary supplies and maintain inventory levels with regards to the facilities and engagement efforts.
- Facility Management: Coordinate office maintenance, cleanliness, parking, and repairs. Work with service vendors, employee ticket requests, and building management.
- Organize Office Logistics: Handle scheduling of meetings, office events, and coordinating travel arrangements for staff.
- Front Desk Support: Greet visitors, manage phone calls, direct inquiries appropriately, and maintain internal directory.
- Communication Management: Ensure timely communication, manage deadlines, and follow through when coordinating with vendors, team members, and leadership.
Administrative Support:
- Correspondence: Handle incoming and outgoing mail, email communication, and faxes. Ensure timely follow-ups and responses.
- Coordination: Organize desk arrangements, meetings, events, manage schedules, and onboarding/offboarding efforts.
Team Support:
- Team Assistance: Provide administrative support to the team as needed, such as data entry, presentations, catering and general office tasks.
- Member Relations: Assist with administrative/logistic tasks and projects as it relates to engagement and HR.
Financial Duties:
- Budget Monitoring: Track and maintain office-related expenses. Ensure office operations stay within budget.
- Billing and Invoicing: Handle vendor payments, process office-related invoices, and maintain accurate financial records.
Compliance
- Maintain Compliance: Ensure office policies, inspections and safety procedures are in line with company regulations and industry standards.
- Document Management: Track and ensure contracts are properly maintained and accessible.
Other Duties
- Miscellaneous projects as requested as it relates to office management
What We’re Looking For
- Communication & Organization: Strong communication, organization and time management skills with the ability to multitask and prioritize in a fast-paced environment. Proficiency in Google Workspace is a plus!
- A positive, proactive, problem-solving mindset. Go-getter. When you see a problem, you want to address it. Ability to handle sensitive and confidential information with discretion.

Compensation
The US total compensation range for this full-time position is inclusive of salary pay + benefits. Our ranges are determined by role and level. Within the range, individual pay is determined by factors including relevant skills, experience, and education/training.
