Executive Assistant
David Zwirner is seeking an Operations Assistant to assist both our Partner/Chief Operations Officer and Chief Digital Officer. Qualified candidates should be highly organized, responsible, and motivated, with an interest in gaining experience in the day-to-day function of a professional office environment.
Executive Assistant | $60k-65k annual salary, paid hourly; overtime eligible
Primary responsibilities include:
- General administrative support for both the COO and CDO, including management of the daily task and call list; arranging travel, submitting expenses, scheduling both internal and external meetings, and meeting preparation.
- Support CDO rolling out new tools, staff trainings, team meetings, events and expenses for both business areas.
- Select general administrative support, as needed, for other members of the Operations team.
- Submit invoices approved by the COO and CDO, and ensure prompt payment with the Gallery’s finance team.
- Effectively communicate and coordinate with internal cross-functional teams.
- Additional tasks and projects as requested.
Desired Skills:
- Excellent verbal and written communication skills to interact effectively with staff at all levels, and vendors.
- Positive energy, willingness to learn and a proactive “can do” attitude.
- Thorough and detail-oriented with the ability to pivot quickly.
- Strong knowledge of contemporary art and an acumen for technology.
- Proficiency with the G Suite toolset - Gmail, Docs, Drive, Calendar
- Experience working with one or more project / team collaboration tools ideally Notion, Jira, and Slack
- Independence and Speed: Candidate needs to be quick, able to multitask and prioritize
What you’ll need to have:
- The ideal candidate will have a BA degree or equivalent (design/art/technology focus preferred)
- At least two years related experience or the equivalent.
- Candidate must be focused, reliable, and have an interest in art
- BA in Art History, Art Business or similar a plus
Must be able to work with team members at all levels, and requires 5 days/week on site.
