Special Events Captain

JOB SUMMARY: The Special Events Captains are responsible for providing event day support for Special Events and supporting the department with other administrative tasks in the office.

DUTIES AND RESPONSIBILITIES:

Provides event-day support for the Special Events team by:

· Briefing with Special Events Department to review the overall event details (diagram, timeline, checklist of items to execute during event, etc.).

· Helping with event setup items such as signage, Tailgate Package games, Coat Check and other minor setup changes that arise on event day.

· Acting as the main point of contact for clients to support their needs and communicate any changes that come up during the event.

· Managing Ancillary Services contracted with the client to ensure they are executed as planned.

· Supervising event day staff and service partners assigned to the event and communicating with their event leads to ensure all teams are assisting with event needs.

· Working directly with stadium operational departments to manage any issues that occur during the event, including medical, security, weather, etc.

· Supporting basic AV needs pre-set by the ThunderVision team by connecting client laptops to video walls, adjusting audio, changing TV channels, and shutting equipment down at the end of the event.

· Closing down events at the event end time to ensure a smooth departure for guests, clients and vendors.

· Providing post-event notes to the Special Events Department with feedback and issues that need to be addressed.

Provides administrative support for the Special Events team by:

· Creating and filing event folders.

· Conducting systematic pre-event inspections to ensure setup requirements are completed, and a positive, first-class presentation of the stadium will take place.

· Organizing Special Events supplies, including signage, centerpieces, Tailgate Package games, toolkits and more.

· Inputting basic details and data in event software (Momentus) such as staffing, HVAC, lights, entrance, post-event costs, etc.

· Updating diagrams in diagram software (Delphi) based on Special Events department notes.

· Supporting the Special Events Department with other office-related tasks as assigned.

MINIMUM REQUIREMENTS

· Submit a resume and cover letter.

· Working on a Bachelor’s degree in communications, business administration, hospitality, event management, or related field.

· Minimum of 1 year of experience in the event industry.

· Minimum of 1 year of experience in an office environment.

· Ability to work nights, weekends, early mornings and some standard office hours to support the Special Events team on-site with events and administrative tasks.

PREFERRED SKILLS AND ABILITY

· Excellent organizational skills and attention to detail.

· Strong oral and written communication skills.

· Ability to identify and resolve problems in a timely manner, both independently and in a group setting.

· Excellent customer service skills when communicating with clients via email, phone, and in person.

· Ability to communicate effectively and build relationships with internal departments and service partners.

· Respect for confidentially of critical information.

· Proficiency with Microsoft Office applications, with a strong knowledge of Excel.

· Familiar with Adobe, PDF, event software. applications like Venue Ops, Amadeus Hospitality, or other related software.

 

 

In accordance with the Colorado Equal Pay for Equal Work Act, the expected pay for this position is $22.50 an hour.
