Echodyne is seeking a Sr. Office Administrator to join our fast-growing team. 

ROLE OVERVIEW

We are seeking a proactive, highly organized, and detail-oriented Sr. Office Administrator to serve as the face of our office while owning day-to-day operations and elevating the overall workplace experience. This role requires strong ownership, sound judgment, and consistency in execution. The Sr. Office Administrator partners closely with HR and leadership to support employees, optimize office operations, and contribute to a high-functioning, engaging workplace.

RESPONSIBILITIES

Front Office & Administrative Leadership

  • Serve as the primary point of contact for visitors, guests, and employees, delivering a professional and welcoming experience
  • Own the front desk and lobby experience, ensuring an organized and professional environment
  • Oversee visitor management processes, including check-in, badge tracking, and host coordination
  • Manage incoming communications (voicemail and general inquiries) with professionalism and urgency
  • Coordinate incoming and outgoing mail, packages, and deliveries across common carriers (e.g., USPS, FedEx, Amazon)
  • Act as a central hub for office coordination, resolving requests and directing needs efficiently
  • Provide operational and administrative support to leadership and cross-functional teams
  • Coordinate catering and meeting logistics, ensuring smooth execution

Office Operations & Facilities Management

  • Own daily office operations, ensuring a clean, functional, and well-maintained environment
  • Maintain shared spaces (kitchen, conference rooms, supply areas) to a high standard
  • Manage inventory of office and facility supplies, proactively monitoring usage and coordinating restocking
  • Identify and resolve operational gaps to improve organization, efficiency, and overall office functionality
  • Manage vendor relationships (e.g., cleaning, facilities, catering), including scheduling, communication, and service quality
  • Support ongoing office improvements and workplace initiatives
  • Ensure shared spaces are consistently ready to support daily operations and meetings

HR & Employee Experience Partnership

  • Partner with HR to support recruiting coordination and onsite candidate experience
  • Ensure a smooth and welcoming interview experience for candidates
  • Support onboarding logistics, including first-day readiness and orientation coordination
  • Assist with employee engagement initiatives and culture programs
  • Coordinate logistics for company events, All Hands meetings, and team activities
  • Support HR processes and documentation as needed

Events & Special Projects

  • Plan and execute onsite events, including vendor coordination, setup, and breakdown
  • Contribute ideas to enhance workplace culture and engagement
  • Support cross-functional projects and operational initiatives

REQUIRED SKILLS / EXPERIENCE

  • 3+ years of experience in office administration, office management, or front office operations
  • Proven ability to operate independently in a fast-paced environment
  • Strong organizational, communication, and multitasking skills
  • Demonstrated ownership mindset and problem-solving ability
  • Professional, approachable demeanor with a strong customer-service orientation
  • Experience supporting HR or recruiting coordination is a plus
  • Proficiency in Microsoft Office, Google Workspace, and general office systems
  • Demonstrates strong ownership of office operations, proactively identifying and resolving issues
  • Exercises sound judgment in prioritization and day-to-day decision-making
  • Anticipates team and workplace needs and takes action before issues arise
  • Acts as a trusted resource for employees, providing guidance and support
  • Establishes and improves processes, systems, and workflows to increase efficiency and consistency
  • Manages vendor relationships effectively to ensure high-quality service delivery
  • Communicates clearly and professionally across teams, ensuring alignment and follow-through
  • Balances multiple priorities while maintaining strong attention to detail
  • Contributes to a positive, high-functioning office culture
  • Partners with HR and leadership to continuously improve the employee experience

DESIRED SKILLS / EXPERIENCE 
(Looking for one or more as a complement to the core skills)
 

  • Ability to move throughout a large facility regularly and perform frequent walking throughout the workday
  • Ability to stand for extended periods while supporting front desk coverage, meetings, and events
  • Ability to lift, move, and carry office supplies, packages, catering items, and event materials, occasionally up to 35 pounds
  • Ability to assist with meeting and event setup/breakdown, including moving tables, chairs, and supplies as needed
  • Comfortable working in a fast-paced, highly interactive office environment with frequent interruptions and shifting priorities
  • Ability to perform hands-on operational tasks in support of office functionality and employee experience

WHAT WE OFFER

This is a non-exempt role.

The hourly rate for this role is

$28.82 - $43.37 USD
