WHAT YOU’LL DO:

The Administrative Assistant is responsible for providing administrative support to the company to ensure efficient functioning of the office. Also serves as the first point of contact for clients, prospects and centers of influence on the phone as well as in person.

Critical Job Functions:

  • Answer multi-line phone system and route calls via computer
  • Address messages left in general voicemail/fax mailboxes
  • Greet visitors
  • Prepare Fed Ex packages for mailing. Process/meter postal mail. Index/route incoming mail via ImageRight, following service level standards
  • Assist various departments with special projects as needed. General office duties: keep printers/copy machines stocked with paper, keep breakroom and common area of the office neat and orderly, assist with meeting set up/catering orders
  • Request maintenance service. Order/stock supplies. Open, sort, and scan incoming mail.
  • Professionally administers all incoming calls and ensures phone calls are redirected accordingly, transfers calls to voicemail or takes messages for unavailable personnel
  • Sort, process and distribute all incoming mail, and prepare mail for scanning
  • Electronic distribution of mail via carrier websites and WorkSmart throughout the organization
  • Support Commercial Insurance, Personal Insurance and Benefits teams as needed
  • Process all outgoing mail including UPS and FedEx
  • Order office supplies and maintain inventory and organization of mail room and supply rooms
  • Opens and closes front desk/reception area (locking and unlocking doors and switching phones into day/night mode). Maintain neat and clean reception area and posts appropriate signs for office closures, holiday hours, etc.
  • Greets and welcomes guests in a professional, friendly hospitable manner and directs them appropriately by notifying personnel of their arrival.
  • Provides callers with basic information such as company address, directions to offices, fax numbers, phone numbers, web address and other related information
  • Receives, reviews and forwards fax correspondence sent to main fax number to appropriate person in a timely manner
  • Assist with other related clerical duties such as photocopying, faxing, filing, collating and scanning documents
  • Complies with all internal procedures and practices while demonstrating the ability to meet service performance and quality standards
  • Contributes to a team effort by assisting in other related areas as needed

WHAT YOU’LL BRING:

  • High school diploma
  • Minimum 1 year administrative support experience required
  • Excellent phone and interpersonal skills
  • Professional appearance and demeanor
  • Exceptional customer service skills; tactfulness and consideration in dealing with a diverse group of people and personalities.
  • Ability to multitask and manage time wisely
  • Proficient in Microsoft Office, use of office machines such as multiline phone systems, fax/copier/scanner and mail machine.   

LOCATION: Carmel Indiana, this is an onsite role 5 days a week in office

COMPENSATION: The base pay offered will be determined based on your experience, skills, training, certifications and education, while also considering internal equity and market data.
