We are seeking an experienced Executive Administrative Partner who will play a pivotal role in supporting and empowering our executive leadership team to ensure smooth business operations. You will act as the right hand to our Commercial senior leaders, providing high-level administrative support and contributing to the overall efficiency and success of our organization. You will make administrative decisions and serve as a trusted liaison between senior leaders, team members, and external stakeholders to ensure clear and timely communication and effective follow-through. The ideal candidate is a proactive problem solver with exceptional communication skills and meticulous attention to detail. Essential Functions and Responsibilities 

  • Provide comprehensive administrative support to the SVP of Sales and Support, SVP of Marketing and Product Management, and SVP of Business Development, including managing complex calendars, scheduling meetings, travel, preparing presentations, and capturing follow-up items.
  • Organize the recurring Commercial Call, partnering with leadership to finalize agendas, prepare and distribute materials, launch meetings, monitor timing, and track action items and follow-ups.
  • Lead planning and execution for senior leadership events, meetings, and conferences, ensuring all logistics are handled seamlessly: including the annual Global Sales Meeting, Global Distributor Meeting, and Visitor Program. Apply strong project management skills to coordinate stakeholders, timelines, communications, and deliverables.
  • Coordinate relationship management activities, creating and maintaining comprehensive contact lists for Commercial leaders to support intentional engagement with customers, collaborators, candidates, internal partners, and other stakeholders. Track meeting cadences (monthly, quarterly, semi-annual, annual) to help leaders stay connected to priority relationships.
  • Partner with Commercial leadership to design and maintain efficient systems and tools that enhance relationship mapping and visibility across teams—demonstrating proactive, strategic thinking in identifying opportunities for improvement.
  • Administer customer surveys in collaboration with Marketing and Commercial leadership, ensuring actionable insights are collected and shared.
  • Serve as a connector across Sales/Support, Marketing, and Business Development, facilitating communication, information sharing, and collaboration across functions.
  • Manage project timelines, priorities, and outcomes across multiple initiatives, ensuring key deliverables are met with accuracy and attention to detail.
  • Compile expense receipts and complete expense reports for reimbursement accurately and on time.
  • Support special projects and initiatives, ensuring deadlines are met and objectives are achieved.
  • Research and analyze topics relevant to the industry and stay current on market trends.
  • Proactively organize and expedite workflow to ensure schedules and commitments are met.
  • Collaborate with fellow administrative partners to deliver exceptional support across the leadership team and assist as needed with on-site events including All Hands and Executive Committee meetings.
  • Prepare and edit senior leadership correspondence, reports, and presentations with a high level of accuracy and attention to detail.
  • Maintain the highest level of discretion and confidentiality in handling sensitive information.

Education and Experience 

  • Bachelor’s degree strongly preferred, plus relevant experience supporting senior executives in fast-paced, dynamic environments. Candidates with fewer years of experience who demonstrate strong critical thinking, problem-solving, and project management abilities are encouraged to apply.
  • Prior experience supporting executives in a biotech/life sciences, pharmaceutical, or med-tech company with marketed products is highly preferred.
    Proven success in managing multiple calendars and projects for multiple leaders in a complex, fast-paced environment.
  • Demonstrated project management expertise, including planning, coordinating, and executing large-scale meetings and events (such as Global Sales and Distributor Meetings), cross-functional initiatives, and relationship management programs.
  • Experience scheduling domestic and international business travel and accommodations (including passports, visas, etc.), and preparing, reconciling, and maintaining expense reports.
  • Excellent strategic thinking, troubleshooting, and problem-solving skills with high attention to detail. Ability to anticipate challenges, identify opportunities, and implement creative, scalable solutions.
  • Demonstrated success in following through and completing projects on time.
  • Experience in and an aptitude for using technology to improve work efficiency and data visibility (e.g., contact tracking, relationship management, and collaboration systems).
  • Advanced computer skills and demonstrated experience with Microsoft Office Suite, Zoom, and project management tools.
  • Must possess a solution-oriented, proactive mindset, with the ability to adapt, prioritize, and execute effectively in a rapidly evolving environment.
  • Strong organizational skills, ability to balance multiple priorities in high-pressure circumstances, and agility to switch focus as priorities evolve.
  • Ability to thrive in Element’s fast-paced, start-up environment and build and maintain strong relationships throughout the company.

Physical Requirements:

  • Must be flexible in working hours as this position may require executive leadership support during non-regular business hours
  • Frequently moves boxes weighing up to 20 pounds

Job Type:

Base Compensation Pay Range:

  • $97,000 - $118,000



In addition to base compensation noted above, you will be eligible for stock options, discretionary annual bonus, no cost health insurance plans, 401k with company match, and flexible paid time off.
