Enviva is seeking an Office Coordinator for the Raleigh office. This position will support the Raleigh office associates and will report to the Corporate Facilities Manager.

Responsibilities

  • Be hospitable and customer service oriented with both associates and external visitors.
  • Answer phone calls and take messages, forwarding as appropriate.
  • Respond to shared inbox email requests and inquiries in a timely manner.
  • Maintain inventory of office and kitchen supplies, reordering/restocking as appropriate.
  • Tidy and reset the general office area, kitchen, and conference rooms daily.
  • Liaise with building management and external vendors for office repairs, cleaning services, tenant emergency notifications, etc.
  • Manage and issue access cards.
  • Complete business card requests.
  • Retrieve mail, FedEx, and UPS packages and distribute to staff.
  • Create FedEx labels for associates and assist with shipping out packages as needed.
  • Assist with internal/external meeting preparations including booking conference rooms, setting up audio-visual, and ordering catering.
  • Manage relationships with vendors, service providers, and landlord, ensuring all invoices are received, reviewed, and processed in a timely manner.
  • Maintain historical reference for the office by updating facilities manual with pertinent information.
  • Oversee the fire and safety program.
  • Other duties as assigned.

Qualifications 

  • High School Diploma required. Associate or bachelor’s degree preferred.
  • 1-2 years administrative experience.
  • Possess strong oral and written communication skills and exceptional computer skills (MS Word, Excel, PowerPoint, Outlook, etc.).
  • Able to work both independently and as part of a collaborative team, manage multiple projects, and assume additional responsibilities over time.
  • Highly organized, with exceptional attention to detail.
  • Demonstrate sound judgment and ability to reach decisions independently.
  • Maintain a strong sense of urgency and problem-solving skills.
  • Demonstrate a positive customer service attitude.
  • Adapt well to changing plans and priorities.
  • Maintain strict confidentiality standards.
  • Able to work a flexible schedule as business dictates, including occasionally being contacted off-hours to answer any emergency or urgent office-related matters.

Working Conditions

  • This is a fulltime, onsite Business hours are 9:00am – 5:00pm. Monday – Thursday are required in office days. Fridays may be worked remotely as business needs dictate.

Physical Requirements

  • Ability to move about the office quickly in case of emergency.
  • Able to perform tasks such as lifting, walking, climbing, stooping, standing, pushing, crawling and/or pulling for up to eight (8) hours a day.
  • Able to pull and lift up to 25 lbs.
  • Able to work on a computer screen in a seated position for up to eight (8) hours a day.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA.
