Immigration Assistant

We are seeking a highly organized and detail-oriented Immigration Assistant to join our growing team. The ideal candidate is passionate about delivering exceptional client service, supporting immigration case processing, and ensuring accuracy in documentation and administrative workflows.
This role plays a critical part in supporting Case Managers by coordinating immigration cases, preparing application documentation, maintaining accurate records, and ensuring compliance with established procedures. You will contribute to the efficient delivery of immigration services while helping the team provide a seamless experience for clients and foreign nationals.
As our Immigration Assistant you will be required to:
- Ensure the effective maintenance of client and internal records via use of the case management system and other internal systems
- Prepare/draft applications for Case Managers
- Collaborate and work closely with Case Managers on various aspects of work authorization and other immigration matters
- Setup new case initiations and assessments as directed by Team Lead and Immigration Manager
- Adhere to Envoy’s case management SOP, ensuring the effective maintenance of client and internal records via use of the case management system and other internal systems
- Online capture of applications on VFS, SAQA and professional body applications
- Assist Case Managers in closing cases in accordance with Standard Operating Procedures (SOP)
- Manage outbound visa cases. Prepare applications and documents for filing.
- Attend and participate in client and vendor calls as needed
- Other administrative and coordination duties as assigned.
To apply for this role, you should possess the following skills, experience and qualifications:
- Diploma or relevant qualification in Administration, Legal Studies, or a related field
- Previous experience in immigration, legal administration, or professional services environment preferred
- Strong administrative and organizational skills with high attention to detail
- Experience working with case management systems or similar databases
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong written and verbal communication skills
- Ability to work collaboratively within a team and follow structured processes
- Knowledge of immigration processes, VFS, SAQA, and professional body applications is advantageous
