
Customer Support Specialist, Order Operations

The Customer Support Specialist plays a key role in the full lifecycle of customer orders—from entry to delivery. This role ensures orders are entered accurately, payments are validated correctly, shipments are coordinated on time, and any issues are resolved with urgency and ownership. You’ll work closely with Sales, Logistics, Finance, and our warehouse partners to keep orders moving, solve problems before they impact customers, and support a smooth, reliable experience at every step.
In This Role
- Manage and maintain sales orders within Microsoft Dynamics 365, ensuring data accuracy and completeness
- Perform order edits including quantity adjustments, pricing corrections, freight updates, service-level changes, and shipping modifications
- Investigate and resolve order exceptions such as inventory issues, pricing discrepancies, or system errors
- Coordinate with internal teams to ensure timely order release and fulfillment
- Monitor orders on hold and take action to resolve and release when appropriate
- Support high-value or complex orders requiring additional review and coordination
- Maintain accurate documentation of order changes and process steps
- Identify recurring issues and escalate opportunities for process improvement
- Ensure compliance with company policies, pricing rules, and operational procedures
- Identify root causes of recurring operational issues and recommend process improvements
- Reconcile customer payments across multiple methods, maintain accurate ERP records, and escalate discrepancies as needed
- Research and resolve shipment exceptions, order errors, unreleased orders, and inventory discrepancies

The Ideal Person
- 5+ years of experience in order management, logistics, or customer operations
- Bachelor’s degree or equivalent experience in business, supply chain, operations, or related field preferred
- Strong attention to detail with the ability to manage data accurately and follow established workflows
- Proven ability to exercise discretion, use sound judgment, and make decisions independently
- Excellent communication and relationship-building skills across teams and with external partners
- Proficiency with ERP systems (Microsoft Dynamics 365 preferred)
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
