The company provides an all-in-one payment platform that supports online businesses, retailers, SaaS companies, subscription businesses, restaurants, and businesses operating in specialized industries. By combining payment processing, integrations, reporting, and modern payment technology into a single platform, Merchantic helps businesses streamline operations and scale with confidence.
As the company continues to grow, they're looking for a highly organized, proactive, and resourceful Executive Assistant to become a trusted partner to the leadership team. This is an exciting opportunity to work directly with company executives, helping drive operational excellence while ensuring day-to-day priorities run smoothly.
Role Overview
As the Executive Assistant, you'll serve as the operational backbone for the executive team. You'll manage complex calendars, coordinate meetings across multiple stakeholders, oversee executive communications, and help keep strategic initiatives on track.
This role goes beyond traditional administrative support. You'll work closely with leadership across multiple functions, anticipate needs before they arise, improve internal processes, and help the team operate efficiently in a fast-paced startup environment.
The ideal candidate is highly organized, communicates exceptionally well, exercises sound judgment, and enjoys solving problems independently. You're someone who thrives on creating order, protecting executive time, and ensuring nothing falls through the cracks.
Key Responsibilities
Executive Support
- Manage executives' calendars, scheduling meetings across multiple time zones while protecting focus time
- Coordinate internal and external meetings, ensuring agendas, documents, and meeting materials are prepared in advance
- Manage executive inboxes by prioritizing communications, drafting responses, and ensuring timely follow-up
- Prepare meeting notes, action items, and follow-up communications
- Arrange domestic and international travel, accommodations, and itineraries when required
- Handle confidential information with professionalism and discretion
Operations & Project Coordination
- Track company priorities, projects, and executive action items
- Coordinate cross-functional initiatives to ensure deadlines and deliverables stay on track
- Assist with documentation, reporting, and internal process improvements
- Help organize company meetings, leadership reviews, and team events
- Create and maintain organized documentation and operational resources
Communication & Stakeholder Management
- Serve as a primary point of coordination between executives and internal teams
- Draft professional communications on behalf of leadership
- Coordinate with clients, partners, vendors, and other external stakeholders
- Ensure timely follow-up on important conversations and commitments
Administrative & Business Operations
- Maintain organized records and documentation
- Assist with preparing presentations, reports, and business documents
- Support expense tracking, invoice coordination, and administrative processes as needed
- Recommend process improvements that increase efficiency across the organization
- Provide additional administrative and operational support as business needs evolve
What We're Looking For
- 3+ years of experience supporting founders, executives, or senior leadership
- Previous experience as an Executive Assistant, Executive Operations Associate, Operations Coordinator, or similar role
- Exceptional organizational and time-management skills
- Excellent written and verbal English communication skills
- Strong attention to detail with outstanding follow-through
- Ability to prioritize competing tasks in a fast-paced environment
- High level of professionalism, discretion, and confidentiality
- Strong problem-solving skills and ability to work independently
- Experience coordinating calendars across multiple time zones
- Comfortable working with Google Workspace, Microsoft Office, Slack, Notion, Zoom, or similar productivity tools
- Experience supporting startup founders or high-growth companies is a strong plus
- Experience within fintech, SaaS, or technology companies is preferred but not required
- AI fluency and familiarity with tools such as ChatGPT, Claude, or other AI productivity platforms is a plus

- Working hours: 9:00 AM – 6:00 PM EST (or aligned with the executive team's schedule)
