Office Manager & Executive Assistant

About the role:
We are looking for a combined Office Manager and Executive Assistant to own both the strategic and day-to-day operations for our NYC headquarters and manage the calendars of 1-2 senior executives. This role will report to the People Experience Manager.
Where you will work:
This role will be based in our New York City office in Soho, and is required to be in person Monday-Friday.
What you will do:
Office Management Responsibilities
- Own and manage day-to-day office operations such as ordering & restocking supplies and equipment, coordinating with office vendors (e.g. cleaners, contractors), coordinating and setting up daily lunches, and working directly with building management on maintenance issues
- Serve as the go-to resource for the HQ employee experience, including greeting new hires, managing seating charts, coordinating and soliciting and actioning any facilities questions or feedback
- Plan and execute quality in-person events such as team dinners, company parties, and on/offsites
- Support the People and Talent teams in managing key events across the employee lifecycle such as onboarding and work anniversaries
- Own company swag and employee gifts, including vendor relations, inventory, and logistics
- Serve as project manager on key initiatives such as coordinating an office move
- Assist with IT Support responsibilities such as laptop inventory and logistics, AV setup for team meetings, and monitoring the support Slack channel
Executive Assistant Responsibilities:
- Manage the calendars of 1-2 senior executives
- Work with stakeholders to prioritize and schedule meetings
- Assist with other administrative tasks to optimize efficiency as needed
What you will bring to the team:
- 2+ years of experience as an office manager, preferably for a fast-growing startup
- Exceptional organizational skills, attention to detail, and effective prioritization abilities
- An ownership and continuous improvement mindset – always proactively looking for ways to streamline processes to improve employee experience
- A warm, professional, and service-oriented approach to working with employees, guests, and leadership
- Ability to problem-solve independently and drive initiatives forward, including working cross-functionally with teams across the company
- Strong verbal and written communication skills, and the ability to work effectively in Google Sheets
- Strong personal drive to learn and grow as a professional and contribute to the company’s mission
Physical requirements:
- This role may require walking for prolonged periods of time and occasionally lifting items up to 20-25 pounds.
Compensation Transparency:
The target salary range for this position is $80,000-$100,000 Individual compensation for this role will depend on various factors, including qualifications, skills, and applicable laws. In addition to base compensation, this role is eligible to participate in our equity incentive and competitive benefits plans, including but not limited to: flexible PTO, Medical/Dental/Vision plan options, 401(k), Teladoc Health and more.
