About ProBio
ProBio proactively provides end-to-end CDMO service from drug discovery to commercialization with proactive strategies, professional solutions and efficient processes in cell and gene therapy (CGT), vaccine, biologics discovery and antibody protein drug to accelerate drug development for customers. ProBio’s total cell and gene therapy solution covers CMC of plasmid and virus for IND filing as well as clinical manufacturing and commercial manufacturing. In terms of plasmid service, ProBio supports the most clinical approvals for CGT drugs including mRNA vaccines, CAR-T in China. It is also the first GMP manufacturing platform to provide in vitro transcription (IVT) template linearized plasmids for mRNA vaccines and has supported several mRNA vaccine global enterprises to obtain clinical approvals. In terms of viral vector service, ProBio has a stable and high-yield viral vector platform.
Position Summary
This position is responsible for overall management of end-to-end logistic operations of goods and materials from the center or production to end customers in Australia, including order processing, international transportation, storage, local delivery. Compliant operation, on time delivery with good quality would be the key expectations on a qualified position holder’s profile. Proven track record of know-how and experience in Australian Customs import and export requirements, Order processing and execution, international transportation, logistic service provider management would be critical success factors. Collaborate with other functional team within the organization such as with commercial, logistic centres in CN, SG, US, production, finance, etc. to ensure smooth operation.
Key Responsibilities
Regulatory Documents Confirmation
- Confirm shipping documents with the TAM team, including but not limited to packing lists, and transportation insurance documents
- Manufacturing Declaration documents drafting for AU shipments
Shipping Execution
- Responsible for receiving and inspecting incoming items to ensure that the quantity and quality are consistent with the order
- Ensure that goods receiving are processed, documented and tracked in accordance with the company's receiving process
- Confirm and process daily orders, including but not limited to order entry, verification, and tracking. Coordinate other transportation-related activities, such as transportation arrangements, warehouse management, etc.
- Pick and pack goods according to order requirements, ensuring the integrity and safety of the goods
- Arrange for the pickup of goods to ensure timely delivery to the destination. Coordinate with transportation suppliers for pickup times and locations to ensure smooth logistics flow
- In charge of handling ad-hoc tasks and assisting in handling other tasks related to the shipping center, administration, finance, etc.
Logistic Service Provider Management
- Support to source qualified forwarder, courier etc service providers
- Manage service providers’ service level through monthly KPI dashboard to ensure compliant operation, timely and cost-effective delivery of goods
- Monitor and analyse freight costs to identify cost-saving opportunities
- Resolve issues related to shipping, customs clearance, and delivery
Logistic Cost Management
- Review of freight cost, packaging material cost and any other logistic related cost
- Upload transportation cost data into the company's internal system in accordance with the prescribed format and procedures to ensure accuracy and completeness
- Manage the vendor billing process, including reviewing vendor bills and invoices to ensure consistency with contracts and agreements
- Deep dive logistic cost analysis and initiate cost saving opportunities for cost effectiveness purpose
Project Management
- Initiate projects to make continued optimization for AU logistics center, which includes but not limit to process optimization, cost effectiveness, system upgrading, automation, digitalization, etc.
- Formulate workable implementation plan for projects with clear goal, deliverable, milestone, etc.
- Set up report out mechanism to ensure all related stakeholders are on the same page about the progress and status, any identified risks together with mitigation measures.
Customs compliance related Audits
- Maintain accurate and updated records of all customs-related activities and documentation, ensuring proper audit trails
- Perform regular internal audits to identify areas of improvement in customs processes and work on corrective actions
- Responsible for applying for and maintaining relevant import permits, including DAFF import permits for Australia, ensuring full compliance with regulatory requirements
- Monitor changes in customs regulations and ensure documentation and declarations are aligned with the latest compliance standards
Ad-hoc Tasks
- Any other tasks or project assigned by superior
Qualifications
- Degree / Diploma with major in Supply Chain, Logistics or other Business-related studies
- 5 years and above of relevant experience in Logistics, import and export Customs operation or related fields
- Prior Experience in Biotech, Life Sciences industry is an added advantage
- Quick learner with strong communication and coordination skills, data analytical skills
- Fluency in English and Mandarin is required as the role requires close collaboration with our team in China
- Proficient in MS Office such as Excel, Word, PowerPoint etc.
- Team player with can do attitude, able to work with challenges and open to take on additional roles
